Job description
Role and Responsibilities:
To provide administrative support at our Head Office.
Purpose: To assist in the smooth and efficient operation of the office through the implementation and operation of appropriate systems and work practices and provision of administrative support.
Main Duties and Responsibilities:
- Checking post in and out
- Answer phone calls and greet visitors
- Office management, including liaison with management company, facilities and resource allocation
- Issue key fobs for building and car park access
- Mantaing and update the car park access website
- Checking First Aid Box
- Ensure staff/visitors are sign in/out the Fire Log/Visitor Book
- General source of information/ direction to location where people can find information
- Helping with Heads of Dept printing
- General support in printing, scaning, photocoping for all departments and Directors
- Maintaining contacts list and facilitating company communications
- Ordering ink and other items
- Ordering stationary and COSHH
- Ordering from Asda supplies for office
- Managing long service awards
- Managing phones and Laptops/PC's
- Updating Radar/Flexebee
- Workforce compliance for Head Office staff
- Booking Zoom/Teams Meeting for Head Office, including making sure the board room PC and internet is working
- Managing the diary for booking Board Room or other offices
- Arranging/ Order lunch for Head of Department Meetings
Undertake appropriate training and development activities to meet the requirements of the post.
- Comply with organizational policies and procedures at all times.
- Work in a flexible way in order to support colleagues to ensure an effective service is given.
