Our Opportunity
You will responsible for providing a wide range of administrative support, clerical and technical support to the office teams in Manchester. Alongside this you will be responsible for meeting and greeting external and internal clients to the office, providing a warm, professional greeting on their arrival.
- Support and assist office staff with administrative requests when required
- Support and assist office staff and other PAs/Assistants when required
- Ensuring the visitor experience within the Manchester office is to the standards expected by the Practice
- Answering the telephone and covering the switchboard as and when required
- Ensuring the office/reception/meeting rooms/ break out areas are kept tidy
- Billing for the regional office Manchester and other offices as required
- Remote admin support to Leeds and Sheffield offices
- Prepare and issue invoices in a timely manner as part of a managed team, assisting other teams as and when required
- Ensure the noticeboards are managed and kept up to date
- Support and assist office teams with IT/meeting room matters (testing AV systems at the start of the day, providing refreshments to attendees
- Support and assist office teams with administrative support and book travel, accommodation and car hire support through the system
- Supporting the implementation and maintenance of office administration processes
- First point of contact for building related issues – H&S / Fire Marshall / First Aider / Fire Extinguishers / Swipes / Access / cleaners etc
About You
- Excellent telephone manner and communication skills
- At least 5 GCSE’s at C level or above (or equivalent) including English and Maths
- Experience in a similar role - desirable
- Excellent ability in MS Office software (Word, Excel and Power-point) and other appropriate packages
- Secretarial qualifications – RSA or equivalent desirable
- Multitasking – Teamwork – ability to work on his/her own and as part of a team
- Good timekeeping and punctuality
- Excellent communication skills
- Self-motivated and pro-active
- Excellent organisational skills
- Ability to manage own time and complete multiple tasks to deadlines
- Enthusiastic and pro-active with the ability to be a key part of wider team
