Job description
- Responsibility for the front desk and looking after the offices including inductions, meetings, and welcoming visitors
- Answering calls and dealing with them
- Dealing with the post daily.
- Ensuring a welcoming and safe environment for our people and visitors to work in
- Be the key point of focus for all things office related
- Ensuring the efficient management of the office and deliver an administration service that meets the needs of the companies support functions.
- Responsible for environmental policies within the office
- Work with the IT department to ensure a user-friendly experience for our users
- Ensuring office is kept clean and tidy and workstations and meeting rooms are set up correctly and working
- Maintain and keep up to date the Office Safety File and all related documentation
- General administration tasks, diary management, email management, ordering stationary, archiving, supporting the companies support functions
- Manage suppliers (e.g., cleaning, maintenance, office maintenance suppliers)
- Co-ordinate Fire Wardens and First aid Cover
Candidate Specification
- Previous experience of a similar role would be preferable
- Know what is, and be able to deliver good customer service
- Excellent organizational skills
- Care about the job
- Able to use your own initiative, but ask when unsure
- Tolerance for routines and capability to build processes from scratch
- Ability to keep calm and patient even in challenging situations to resolve immediate problems and deliver long term solutions
- The role is office based and some agility will be required between our Leeds and Skipton Offices
Skills necessary to perform the job
- Good communicator both written and verbal with high levels of accuracy and attention to detail
- Having a positive and proactive customer focused attitude
- IT literate, conversant in Microsoft Office
- Ideally be a trained first aider and fire marshal or the willingness to become trained
- A strong ability to adapt to an ever-changing environment
