Key Responsibilities
- Carry out administration duties for both offices (Jersey & Guernsey), including incoming calls, emails filing, photocopying, scanning/typing and handling the office inventory including materials and stationary.
- Book keeping related activities including creation of invoices on Coretime (based on engineering timesheets), payment of incoming invoices, subscriptions, the handling the staff expense claims process, and reconciliations inclusive of incoming payments and monitoring of debtor list.
- Supporting the Engineers with monitoring of projects, budgets, fees, disbursements and timesheet information and completion.
- Facilitating logistical support including booking of travel, itineraries and meetings (together with room bookings and refreshments)
- Engagement with the team and running of the business during meetings including taking minutes, attending workshops and other training initiatives.
- Data entry of energy monitoring analysis using web-based recorded data and projects details to support asset engineers such as SBEM & JSAP calculations (training will be provided for the right candidate).
Skills, Knowledge and Expertise
- Proficient in the use of Microsoft applications, Word, Excel, Outlook and Powerpoint.
- Excellent written and verbal communication skills.
- Strong analytical skills with attention to detail.
- Bookkeeping experience, experience in the use of Coretime or other financial, bookkeeping software would be advantageous..
- Highly organised, with an attitude to learn.
- Insightful and self aware.
- Ability to build and maintain respectful and considerate relationships.
- Professional with a friendly, courteous manner.
- Clean driving license.
