SUMMARY OF POSITION

The Office Administrator is a vital role within the business and will require an accomplished, confident, positive and competent individual who thrives working in a fast paced and dynamic environment.

Reporting to the Director, this role will be responsible for ensuring the office runs smoothly in its day to day operations, managing the members of the team with the ability to prioritise and self manage time.

RESPONSIBILITIES:

  • General office management - liaising with contractors and suppliers, negotiating charges/costs with; cleaners, taxis, food suppliers, stationary, furniture, travel company, insurances, H&S etc
  • Processing Weekly timesheets and invoices.
  • Overseeing and managing our HR portal, staff training records, Training database, holiday requests and vehicle logs.
  • Making sure new starters are Processed through the system properly.
  • Stock control and management.
  • Working with the commercial department imputing invoices onto our internal systems and through sage.
  • Travel and accommodation management
  • Carry out any other duties are required according to the needs of the business

JOB REQUIREMENTS:

  • Must have previous office/admin experience ideally within a SME organisation.
  • Excellent verbal and written communication skills
  • Excellent customer service skills; comfortable to communicate effectively at all levels
  • Professional approach to work, maintains professional etiquette under pressure; act as a role model for other members of the team
  • Excellent organisational and administrative skills.
  • Excellent computer skills – proficient in Windows, Word, Excel, PowerPoint.
  • Accountancy experience preferable but not necessary

The Office Manager will contribute to a positive team environment, creating and maintaining a working atmosphere which produces high morale and engagement from the team. Diplomacy, professionalism, proactivity and outstanding time management are characteristics held by the successful candidate.

Salary: £20,000.00 to £30,000.00 /year
