Office Administrator Job Description
Job Title: Office Administrator
Hours: 10 hours per week (part-time)
Occasional evening and weekend work may be required
Salary: £10.90 Per hour
Responsible to: Manager

Role purpose
As the office Administrator, you will provide pro-active and professional administrative support primarily to the Manager but across the organisation as required.
Main responsibilities
Key responsibilities will include maintaining digital and email-based filing systems, photocopying, scanning; preparing agendas/information and taking minutes for internal staff meetings, taking and relaying messages, completing basic bookkeeping tasks, maintaining databases and websites, compiling data as directed.
Help to develop appropriate content for a range of communications campaigns in collaboration with others.
To post on social media as directed
Help to develop and implement the organisation’s different strategies in order to successfully promote the work of the organisation and to raise awareness of domestic abuse with a range of external stakeholders and the wider community.
Help ensure the organisation’s staff and volunteers operate safe systems of working at all times, which take care of their own safety and that of colleagues and others who may be affected by their activities in accordance with Independent Choices’ Health & Safety, Lone Working, Safeguarding and other associated policies and procedures.
Example Duties
- General office administration
- Maintaining spreadsheets, databases and websites
- Scanning and filing documents
- Support with organisation outgoing post and record appropriately
- Assisting with production of internal monthly reports
- Arranging meetings by scheduling appropriate meeting times, booking rooms, and planning refreshments
- Creating agendas and taking meeting notes for internal meetings as directed
- Assisting in purchase orders and invoicing
- Assisting in planning and arranging events
- Drafting, formatting, and/or printing relevant documents
- Support with website and social media profiles
- Support with collating accurate and reliable data and other information for inclusion in regular monitoring, evaluation, progress and annual reports to Commissioners, other funders, the Board of Trustees, and other key stakeholders.
- Undertake special one-off pieces of works as organisational needs dictate, as directed by the Manager and/or Board of Trustees.
- Contribute to the wider development of the organisation, contribute to staff meetings and work harmoniously with colleagues and external partners, supporting others in their work.
- Carry out all tasks in line with Independent Choices’ policies and procedures.
- Attend (workshops and conferences) training when requested
- Support with ensuring the office facilities and premises meet the needs of the organisation on a day-to-day basis.
- Actively participate in supervision, appraisal and performance reviews and help identify your own learning and development needs and solutions.
- Undertake any other duties which are relevant to the post and appropriate to the level of responsibility.
