About the job

To oversee the administrative activities that facilitate the smooth running of the Roofing’s department, organising people, information and other resources. The role also provides specific support on a group company level.

Reporting to: Operations Co-ordinator

Location: Unit 9a, Thorpe Way, Banbury, OX16 4SP – Hawkins 2

Job type: Full-time, permanent

Hours: 8:00 - 17:00 pm

Key responsibilities

  • To be the first point of contact for the department and to ensure that all queries are dealt with efficiently from existing and new customers, recording them on Trello and allocating to the relevant Contracts Manager.
  • To set up new jobs on NAV; update NAV, yellow folders, populate quotes and oversee quoting deadlines in cooperation with the Contracts Manager, to issue O&M’s.
  • To prepare and issue bi-monthly quote NAV reports for Contract Managers and updating status if required.
  • To ensure that the wide range of administrative tasks have been carried out efficiently - includes but not limited to

updating non-conformance data base;

booking of travel and accommodation;

raising PO’s for uniform, tool equipment, materials;

completing PQQ questionnaires;

updating accreditation records annually;

booking and recording PAT testing;

submitting CITB funding claims;

coordinating new supplier onboarding process;

completing return to work for staff returning from absence.

  • To be responsible for the booking and the coordinator of H&S staff training, to ensure that training records are maintained.
  • To provide reception cover (lunch time once a week and ’adhoc’)
  • To assist the office team with general day to day admin.
  • To carry out internal plant management related duties; booking repairs and maintenance, managing plant calendars and updating database.
  • Any other duties as required by the Operations Co-ordinator/Roofing General Manager.

  • Attention to detail and highly accurate.

  • Experience and competent in using MS Word, Excel, Powerpoint and Outlook.

  • Flexible attitude to work as additional hours and duties will be required from time to time.
  • Reliable, hardworking, honest and trustworthy.
  • Confident telephone manner.
  • Ability to manage pressure and conflicting demands and prioritise tasks and workloads.
  • Ability to plan your own work, work on your own initiative and meet deadlines.
