Currently on the lookout for an Office Administrator to join our client, a well-established Architecture practice with offices located across the UK.
As the new Office Administrator, you will be required to deliver an efficient and effective administration and document control service and provide administrative support to the London team, and wider Practice as necessary. This includes supporting respective teams with managing deliverables at contractual milestones, coordination and filing of consultants' drawings and elements of contract management.
Upon completion of introductory training, you will be eligible for hybrid working, including 3 days in the office and 2 days at home.
What you'll be doing
- Provide support to the Director and Associate Directors in the London studio including mailbox management, assisting with diary management as necessary.
- Provide document control and administrative support to the wider London team including financial administration, management of expenses and filing, typing and editing documents
- Effectively and efficiently manage telephone calls and correspondence diverting correspondence to other members of the team where appropriate and replying on behalf of or preparing information and drafting replies.
- To overview and help to manage the implementation of projects in accordance with the practice's quality management systems.
- To ensure that drawing / document schedules and issue sheets are maintained, accurate and up to date.
- To ensure that documents are issued accurately, to agreed protocols, recorded and in a timely fashion.
- Co-ordinate and file all relevant downloads and advise relevant Project Leaders.
- Undertake any ad hoc office management administrative duties as and when they arise.
- Regular liaison with other departments to ensure general office standards are maintained.
- Suggest and implement new initiatives to support the development of the role as required.
What you'll need
- Previous experience in a similar role, preferably within the Built Environment.
- Minimum 3 years administration experience.
- Proficiency in the use of Microsoft Outlook, Word, and Excel.
- Proficiency in the use of EDMS (Asite, 4Projects, Aconex) - Desirable
On offer is a salary of up to £35,000 depending on experience.
