The role is based in our Wilton office will provide amazing customer service, and administrative support to our Sales, Maintenance and Business Manager as well as to our amazing customers and suppliers.
Successful candidates need to be reliable and dependable, organised, customer and team focused, able to complete given tasks under little supervision, adaptable to change in a fast pace environment and have a common sense approach to work.
The successful candidate also needs to have:-
- Good verbal and written communication skills.
- A friendly telephone manner and able to take information to book appointments, take payments or deal with queries.
- A good knowledge of well known softwares programs used in daily office administration functions such as word processors (Outlook and microsoft word and intermediate excel)
- Great organisational skills to be able to deal with multiple tasks at once.
- Ability to handle confidential information
- Excellent problem-solving skills, the ability to investiage issues and an aptitude for helping other people .
- Ability to work effectively in a small office team with a winning attitude.
- Whilst not essential, experience in a related role such as Office Assistant, Administrator or other relevant position would be helpful.
- It would be desirable to have a knowledge of specialized office management tools, such Adminbase or Sage - but not essential
Tasks with the role include:-
- Lead the administration in the office by dealing with phonecalls, emails, visits and paperwork that occur. on a daily basis
- Supporting the day to day work of the Maintenance team in managing paperwork, contacting customers, maintaining electronic database records and completing basic quotes.
- Manage the company electronic diaries for sales visits, survey and fitting appointments as well as the Business Managers Diary.
- Creating customer sales invoices and and dealing with supplier purchase invoices for the business.
- Organise and schedule appointments with customers including sales, surveying and fitting.
- Perform data entry roles, including updating records and databases for works, personnel, financial, health and safety and legal information.
- Manage the paper based systems of documentation within the office including the creation of electronic filing systems for to transfer legacy paperwork to.
The role will directly report to the Business Manager and there will be a 3 month probationary period with role.
Salary dependent on Experience (between £21,000 to £26,000 per annum for a 40 hour contract).
Immediate start available.
