Job description

We are looking for a business support professional to join our team on a part time basis – 24 hours.This role requires you to work for only three days a week. (Monday and Friday are mandatory. The other day can be chosen as per your convenience).

Working for our engineering teams, you will be responsible for providing effective and efficient business support which will include administration, travel and hotel bookings and staff support.

About the Project or About the Team:

You will work within the Atkins Nuclear & Power businesses and will be based predominantly from our office in Glasgow city centre. From this office we have a number of engineering teams who support clients throughout the UK and Europe.

Our work is dynamic and therefore you will be flexible, adaptable and have a keen interest in working with others, building strong and trusted relationships is an important aspect of this role, where you will work closely with colleagues to achieve key deadlines. You’ll enjoy working with others.

What you’ll be doing:

The position will include carrying out the following activities:

  • Managing shared mailboxes.
  • Invoice and purchase order administration.
  • Meeting and greeting visitors.
  • Ordering PPE and consumables as required.
  • Coordination with local house management as and when required.
  • Co-ordinating catering requests.
  • Managing travel arrangements, including domestic and international travel, rail, car hire and hotels.
  • Booking external training courses when required.
  • New starter administration and office induction.
  • Ensure staff CVs are up to date.
  • Support with the compliance of timesheet process.
  • Maintain local email distribution lists.
  • Dosimetry administration.
  • Administration of staff secondments.
  • Ensure local Sharepoint sites are up to date, maintained and kept consistent with other parts of the business.

You’ll need to have:

  • Educated to Standard Grade level (or equivalent) including English and Maths.
  • HNC in relevant subject area.
  • Experience of MS Office suite.
  • Accurate record keeper, systems and process driven.
  • Good communication and interpersonal skills.
  • Excellent attention to detail.
  • Ability to work to tight timescales in a busy, professional office environment.
  • Vibrant and enthusiastic team player.
  • Ability to work independent from instruction with a proactive approach.
  • Previous office administrative experience.
