Aim

As our Administration Assistant you’re responsible for supporting the Chief Grazing Officer and the entire Grazing operations team, ensuring our office and admin functions run like a well-oiled machine. This is a diverse and exciting role, with bags of opportunity to make a real difference to the success and growth of Grazing as well as to develop within the company.

You’ll be the first point of contact and the enthusiastic voice of Grazing, having an awesome responsibility and opportunity to dazzle our customers and your colleagues with your efficient service and amazing organisational skills.

You’ll receive orders from our sites and clients via phone, email and web and then coordinate the daily administration around these, making sure orders are processed smoothly, the kitchen understands the requirements and all our deliveries are out and delivered on time.

Building long term friendships with our colleagues and clients (old and new) you’ll play a vital role in ensuring all administrative tasks at out HQ are completed efficiently and in a timely manner, continually looking for opportunities to improve the way we work.

You’ll lead on managing projects to improve how we do things at Grazing, facilitating and enhancing the company’s growth, productivity, profitability and customer experience.

Responsibilities of Job

  • Processing site and customer orders received via web, email & telephone to ensure all orders are passed to our kitchen and delivery team in a timely manner.
  • Overseeing daily deliveries, liaising with the delivery team and customers to ensure all deliveries are received at the correct time and managing any delays or problems.
  • Overseeing and, from time-to-time, creating delivery schedules, proof of delivery schedules and communicating with the drivers around deliveries.
  • Being the main point of contact for our customers and onsite teams, ensuring proactive communication
  • Answering all emails and telephone enquiries for Grazing Delivered and general enquiries and passing these to the relevant department.
  • Converting enquiries into sales and repeat customers and account managing all Grazing Delivered customers.
  • Designing and printing menus and promotional material for our sites and event.
  • Preparing and distributing daily allergens sheets and other food safety records.
  • Administering & maintaining GRUB (Grazing’s Really Useful Back-end), our order management systems.
  • Optimising sales opportunities via recording and progressing enquiries on the company’s CRM.
  • Assisting with HR documentation and processes.
  • Preparing team and company newsletters.
  • Looking after the Grazing social media accounts and preparing off-line marketing and sales literature and promotional products.
  • Reporting sales revenue, forward orders and other management information to senior managers on a regular basis.
  • Dealing with customer feedback and problem solving to ensure our customers’ receive awesome service, turning any negative experiences into positive outcomes.
  • Supporting the CGO and senior management team in all manner of administration, operational and reporting tasks to ensure the smooth running of the company.

Working Conditions

This is an office based role, with typical working hours being 8am to 5pm Monday to Friday.

You may also be required to visit customer sites and work elsewhere from time-to-time.
