About the role
As an insurance broker, we act as an intermediary between our clients and insurance companies and offer various products, from a panel of insurers, to ensure that our clients get the best deal.
As a successful candidate, you will have the opportunity to service and manage administration duties at a well-established, family run business to assist the maintenance and growth of our existing book of business.
As an Office Administrator you will need to complete a variety of tasks including, but not limited to:
- Answering phone and taking messages
- Greeting clients and visitors
- Arranging post and distributing to correct teams
- Managing stationery orders
- Processing and issuing policy documents to clients
- Assisting clients with logging claims with insurers
- Helping with data migration from existing broking software to Acturis
- Undertake training for Acturis and assist brokers with logging support queries with helpdesk
- Assist brokers with various administration tasks such as requesting information from clients/fact finds/issuing risk management reports/chasing clients for outstanding information.
- Issuing invoices to clients, collecting payments and setting up direct debit facilities
- Issuing various correspondence to clients including renewal notices, requests for information
- Assist with accounting on Acturis including inputting payments, dealing with any discrepancies and insurer reconciliations
- Help formulate and develop written policies and processes
- Assist with data gathering for FCA/compliance reporting
- Taking minutes in key meetings, circulating and action tracking
- Keep detailed records of all correspondence with clients, insurers and third parties including attaching emails to necessary records on Acturis and logging telephone transcripts
- Preparing reports and presentations for team meetings/performance reviews
- Assist in managing insurer panel including arranging updated TOBA’s to be signed and stored in relevant folders
- Designing useful letter and email templates to assist brokers with their duties.
- Helping with comparing and negotiating business services contracts e.g. telecoms/internet/compliance etc.
- Assist with marketing including designing templates/emails/website/facebook/linkedin posts.

Required Skills/Qualifications
- Communication: As you will be liaising with clients, insurers and third parties you will require excellent written, verbal and interpersonal communication skills.
- Computer Skills: Proficient in MS Word, Excel, PowerPoint and usage of office computer equipment such as PC’s, photocopiers, scanners, setting up equipment.
- Organisation: You must have the ability to multi-task and manage workload priorities to meet required timeframes.
- Team Work: As you will be part of a small team, you will need to work effectively with other staff members. You will need to be accurate, meticulous and reliable.
You will be given appropriate support and supervision to carry out your job role. This includes providing you with opportunities to practice new skills in the work environment and delivering further training when required.

We will also encourage and support you to obtain the Level 3 Insurance Practitioner Standard, supported by the Chartered Insurance Institute (CII) Qualifications, to become Cert CII qualified

Salary: £22,000 + depending on experience
Office Hours: Mon – Fri 9:00am – 5:30pm
Part time hours will be considered
