Spire Cambridge Lea Hospital are looking to bring on a NHS Coordinator to manage NHS activity day to day, working within established policies and processes. To provide operational liaison between all parties in support of the NHS national and local contracts.
Duties and responsibilities
- Responsibility for the Choose & Book (ERS) system
- Coordinating the workflow within the administration departments to ensure contractual deadlines are adhered to.
- Provide and maintain an efficient bookings system for all outpatients using a computerised system (SAP)
- Coordination of reporting requirements and deadlines in line with all NHS contracts.
- Development of new trackers for new/updated NHS contracts supporting team lead
- Management of hospital/NHS DOS’s (Description of Service) and ERS (Electronic referral system) reports.
- Rejection and return of referrals where necessary – determining legitimate reasons for rejection, in line with hospital’s exclusion criteria.
- The investigation and management of reports, including monthly breach report.
- Respond to enquiries from patients, members of the public and consultants in a timely, courteous and efficient manner either by telephone, email or letter. Ensure an accurate record of the communication is held.
- Liaison and maintenance of close working relationship with consultants, consultant secretaries, GP practices, referral management services and other healthcare practitioners.
- Maintain departmental electronic and manual filing systems accurately
- Practice and maintain a high standard of confidentiality at all times and exercise absolute discretion in the use of all patient/consultant/staff information
- Work to develop and improve the NHS service; ensuring that legislation, policies and procedures are correctly applied.
- Discuss and debate with the relevant people the effectiveness, efficiency and appropriateness of NHS services that are being provided and actively support service development initiatives, supported by team lead.
- Provide and receive patient information, ensuring that all patient information is provided, received and recorded in accordance with the GDPR and Spire policies.
- Undertake any training or development as required to acquire skills and knowledge to undertake role competently
- Carry out any other duty that reasonably falls within the general nature and level of responsibility of the post.
- Maintain a flexible approach to support other business development activities as required.
Who we're looking for
- Has previously come from an Administrative role ideally with 2+ years’ experience.
- Customer Service experience is essential – whether this has been in retail, hospitality or in an office role.
- Having your own transport is essential due to the location of the hospital, public transport would not be reliable.
- Track record of successful delivery in a similar role, in an office and / or customer service environment
- Strong focus on delivering and meeting customer expectations.
- Confident telephone manner with the ability to communicate with a wide range of customers at all levels.
- The ability to work effectively as part of a team.
- Numerate and literate.
- High degree of accuracy and a methodical approach to workload.
- IT literate and a competent user of the MS Office suite of products.
- Able to work under pressure and to tight deadlines, with good organisational skills.
