This role is within a major investment bank and our division provides administration services to Hedge Fund clients. Due to major expansion in our existing hedge fund administration space and also through diversification into private equity, family office and quant funds administration, our team has grown significantly during the last two years. This growth and diversification in product and client profile has provided exciting opportunities to join a growing team and develop new skills.
The role of Administration Assistant will involve being responsible for providing administrative support across all functions within Morgan Stanley Fund Services Glasgow which is currently greater than 150 people in size. The position requires the candidate to be strong in both communication and organisational skills.

What will you be doing?
Support MSFS management group in all administrative duties, such as calendar maintenance, meeting co-ordination, arranging conference calls, etc
Organise and ensure execution to plan agenda and logistics for visiting members of MSFS
Manage office housekeeping/security
Work collaboratively/support other Administrative Assistants in MSFS globally/MS Glasgow to arrange conference calls and book meeting rooms
Onboarding - process starters / leavers / transfers within the department, system and card access
Travel - coordinate travel and lodging including the submission of any expenses associated with travel or client visits
Expenses - complete expense claims and provide expense advice according to policy to the wider department
Ad hoc projects/miscellaneous support
QUALIFICATIONS
What we’re looking for:
Strong communication, judgment, and problem-solving skills
Strong attention to detail as well as solid organization/time management skills
Must be an enthusiastic, positive team player who works well with colleagues
Able to work in a fast-paced environment and handle multiple tasks concurrently
Skills that will help you in the role:
Proficient in Microsoft Office applications, especially Outlook for email, calendar and contacts.
Other helpful applications include Excel, Word, internet and research tools. Concur proficiency a plus
Keep up to date with office procedures and technical training as well as all policy guidelines & compliance requirements
