Salary: Grade 4, £27,766 - $30,000, depending on skills and experience. Please note, for internal applicants the salary will be reflected by pay and award policy
Working arrangements: Full time. Standard working hours between 9am – 5pm, Monday to Friday, with occasional after hours and weekend work subject to the needs of the business. Hybrid working is available, with a minimum of 3 days a week required in the office and subject to business needs
The Royal College of Physicians is recruiting a Meeting and Events Planner.
An exciting opportunity to join an award-winning events team and work at the spectacular Spine building in Liverpool, selling one of Liverpool’s newest and most popular conference and events venues, Spaces at the Spine.
Located in the Knowledge Quarter, Paddington Village, The Spine is the new northern home of the Royal College of Physicians, with a dynamic events venue, Spaces at the Spine, located at the top of the building.
Purpose and scope
You will be part of an experienced and dynamic team working at the venue. Your role as a Meeting planner will be to develop and grow the external commercial conference and event business and convert leads to fill unsold space. The role will include planning physical, hybrid and virtual events to maximise income and support meeting revenue targets.
You will work directly with the Business Development Manager, as well as your fellow event planners supporting all aspects of sales, administration, database management and client liaison. The role will also include the planning of events for internal bookings and RCP Members and Fellows social events from time to time, as well as networking your own and existing accounts. You will engage with past users to develop new leads and should be commercially aware of profitable business and current industry trends.
Responsibilities include
- Liaising with customers from the initial enquiry stage, right through the customer journey to post event follow up including for physical, hybrid and virtual events.
- Arranging and conducting client venue visits, handling enquiries and following up with detailed proposals.
- Demonstrating an in-depth knowledge of the product, pricing and packages on offer,
- Demonstrating commercial awareness in order to successfully negotiate with customers to win their business.
- Ensuring the successful delivery of events, by communicating, coordinating and compiling event details and liaising with the event operations and front of house teams.
- Preparation and processing of accurate deposits and invoices.
- Generating and reporting on activities as required.
- Yield management, ensuring up to date activities and maintenance of accounts in the CRM system.
- Creating and managing Key Account plans.
- Delivering a consistently high level of customer service.
About you
- Educated to A-level, or equivalent, and equivalent relevant experience with the ability to demonstrate the level of skills and knowledge required for the role.
- Working in a direct planning role within the hospitality/events industry specialising in conferences, meetings, dining and events.
- Working knowledge of Microsoft office applications.
- Being commercially aware of finance and working in a profitable business.
- Proving a high level of customer service to external clients.
- Having knowledge of food and beverage in the context of the hospitality and events industry.
- Ability to prioritise your own workload and completing tasks with a high level of accuracy.
