Purpose of Post
It's an incredibly exciting time for Sapphire Eye Care and we are currently recruiting for a Medical Secretary based in our brand new offices in Ampfield, Romsey.
The Sapphire Eye Care Medical Secretary will work with several our affiliated Consultants, delivering a service across multiple hospital sites and clinics. The successful candidate will support the team with particular attention to customer service and the patient experience, ensuring there is an emphasis on delivering excellence. The Sapphire Medical Secretary will have support from the team and Sapphire Practice Manager.
The job holder will work with the wider Sapphire team to ensure:
- Effective day to day management of our Ophthalmic Surgeon’s Practice
- Producing efficient and accurate typing of Consultant’s clinic and operating lists in a timely manner
- Continual focus on growing patient referrals through successful relationships with key referrers
- Effective channels of communication with patients, admin teams, clinical teams, hospital teams, Directors and Surgeons
- Efficient utilisation of Clinic and Theatre availability
- Accurate billing and reconciliation of Consultants private practice
- Identification of any areas of the patient’s journey in relation to patient satisfaction and services that can be improved and put in place appropriate measures to address
The successful candidate will work closely with the clinical team to ensure a smooth patient journey in respect of both care and administration.
Main Duties and Responsibilities
To deliver Ophthalmic activity in line with budget across the multiple payor streams, these being NHS, Insured and Self Pay. To consistently seek out additional revenue opportunities working closely with Patients, Consultants, Optometrists, GP’s and other referrers.
To continuously evolve the patient experience to improve patient satisfaction and deliver a world class service.
To promote a sensitive and caring approach to all patients, visitors and colleagues within multiple hospital environments. To ensure maximum efficiency, utilisation and seamless delivery of support to our Consultant Surgeons.
- To ensure maximum efficiency, utilisation and seamless delivery of administrative support and clinics to Consultant Surgeon, lead clinician and the Directors.
- To ensure optimal use of admin personnel including staff rotas and, where necessary, arranging for temporary cover or filling in as cover in the short term.
- To learn and participate in the Service Excellence approach to customer and patient service and coach the admin team to use these principles to provide exemplary standards of patient care.
- To work with the team to review and assess clinical and administrational effectiveness, identifying areas for improvement, development plans and alternative strategies to achieve a positive result.
- To assist in identifying, arranging, and/or delivering non-clinical training requirements for team members.
- To develop a close working relationship with all Consultants / Surgeons and any affiliated secretaries or other staff working for them at other hospitals/clinics.

- Hold accountability for delivery of high quality patient care throughout each patient’s visit to our associated Hospitals and to promote a sensitive and caring approach to all visitors and colleagues.
In addition to managerial responsibilities, the job holder is expected to actively support in administrational duties and seeing patients who come to our clinic for consultation. The hands on duties within the remit of the Senior Medical Secretary are as follows:
- Talking patients through their options, agreeing the next stages with the patient and booking surgery dates / taking payment for procedures where necessary.
- Where a patient has left the hospital to take valuable thinking time, an appropriate follow up is made
- Ensuring that all patient invoice documentation exists and is correct before enacting payment by checking and keying all surgical submissions with authorisation codes and controlling all subsequent payments.
- To manage and deal with the relationships between patients and Consultants / Surgeons / Optometrists to ensure the patient has all the required information to reach an informed decision.
- Setting up Consultants / Surgeons appointment schedules on the administration system.
- Knowledge of finance options and processing of these.
- Delivery of excellent customer service to achieve consistently high levels of patient satisfaction.
- Communicating effectively and empathetically with all patients, colleagues and external contacts.
- Sharing best practice skills with all colleagues.
- Ensuring that patient feedback is received from the patient after the patients first visit and then at each relevant stage such as surgery and follow up.
- To contribute to the development of an environment that is conducive to learning, promoting staff development and involvement.
- To adhere to the principles of clinical governance and the CQC to assist in providing the most efficient and effective level of service
- To ensure that all care is evidence based and to train others in best practice techniques if required.
- To collect and collate data/information effectively for the purpose of audit, research and service performance.
- To identify and develop, in conjunction with the Consultant and Lead Clinician, measures for service standards, including benchmarking, and to identify areas for potential service improvement.
- To follow correct procedures for documenting and reporting any accident or incident and assist in audits required for improvement in practice.
- To observe patient confidentiality at all times, in accordance with the Data Protection Act (GDPR).
- To ensure effective communication at all times with patients, relatives, carers, visitors, staff and others, in a manner that is consistent with their level of understanding, culture and background, seeking advice and assistance when appropriate.
