This role will be suitable for someone looking to develop their understanding and experience of Human Resources in the NHS and Medical Staffing in particular.

This is a fast paced role and the post holder will develop generic admin skills whilst also obtaining a basic knowledge of all areas pertaining to doctors. This will include recruitment, rostering and specific HR queries for this staff group. The post holder will support an established team in managing the Medical Workforce within the organisation, providing support to colleagues in a varied areas.

Appointees will be able to develop an understanding of the operational management of the Trust which will serve as a strong foundation for future development within the NHS.

The department is committed to staff development and will support internal and external courses as appropriate.

This is an exciting time to join our expanding Medical Staffing team at South Warwickshire NHS Foundation Trust. Appointees will join an established team, providing HR and operational support to colleagues across the organisation with a particular focus on the specialist skills and knowledge required for Medical and Dental Staff.

Appointees to this role will work alongside Medical Staffing colleagues to provide general administrative support to the service.

The post holder will work collaboratively with colleagues in the department to help ensure agreed processes are followed and resourcing strategies are effective and efficient.

Support will be provided to post holders wishing to pursue further educational opportunities including, but not limited to Mary Seacole and CIPD.

Internal to the Trust

Associate Medical Directors, Associate Directors of Operations, General Managers, Clinical Directors, Postgraduate Clinical Tutor, Medical Staffing, Human Resources and Educational Teams, Finance Managers, E-Rostering Team and ESR team.

External to the Trust

Health Education England, NHS Trusts within the West Midlands Area, and external agencies who support the medical workforce.

General Responsibilities

To support the Medical Staffing team in the smooth running of administrative activities within the department. To help ensure that all information is accurately and precisely recorded and subsequently easily accessible.

Work alongside Service Leads to support the recruitment process, undertaking associated administrative tasks as required.

Specific Responsibilities

To develop an understanding of medical & dental terms and conditions of service, providing support and advice to colleagues within the organisation.

Support the recruitment of medical staff, ensuring recruitment activity is done in a timely and effective manner.

Support the recruitment and on-boarding of junior doctors in training, in particular around time of junior doctor changeover.

To work in conjunction with the medical staffing team to ensure administrative processes are kept up to date and efficient.

Ensure that administration around locum bookings is kept up to date to enable efficient finance reporting of locum costs.

Use of Health Roster for medical staffing activity, ensuring records are maintained accurately and consistently.

To help ensure all medical locum bookings are made in accordance with the approved framework guidelines and at the most cost-efficient rates and this data is clearly recorded for audit purposes.

Act as a point of contact for junior doctor queries directing to the appropriate colleague as necessary.

Support the Medical Education Managers and Service Leads in junior doctor issues.

Monitors & record sickness absences for medical staff, highlighting to Service Leads where wellbeing meetings need to take place.

Provide advice where appropriate on Terms and Conditions of Service for all grades of medical staff, referring to the Service Leads & Medical Staffing managers when required.

Ensure information recorded on Electronic Staff Record (ESR) is kept up to date and accurate to adhere to monthly consistency checks.

Work in conjunction with the Trust Payroll to ensure an efficient payroll service is provided including dealing with queries and other pay issues.

To input payroll information into ESR and manage the Inter Authority Transfer process with other Trusts.

Support the Medical Staffing Managers to ensure the Trust complies with IR35 rules.

Provide data as requested to assist with any national returns relating to Medical Staffing.

To have operational knowledge of Health Roster and where appropriate assist in the roll out of junior doctor rotas to maintain ongoing compliance.

To carry out any other commensurate duties associated with this role and/or as requested by Medical Staffing managers.
