Job description
We are recruiting for a team member who has good communication skills, attention to detail, a 'can-do' attitude and is able to deal with both patients and surgery staff face to face and over the telephone in a professional manner.
The role is for c 18 hours over three days, Monday, Thursday and Friday.
The job holder is responsible for undertaking a wide range of administrative duties and the provision of administrative support to the multidisciplinary team. Duties can include but are not limited to, the processing of information (electronic and hard copy) in a timely manner, liaising with team members and external agencies such as secondary care and community service providers in accordance with current policies, including the use of the electronic referral service (ERS). To assist in other administration areas as needed.
The following are the core responsibilities of the Secretary. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:
a. Preparing letters, reports and associated documentation as required
b. Liaising with external agencies such as hospitals and community services, ensuring referrals are processed efficiently
c. Processing all enquires in an effective manner – this includes EMIS tasks
d. Maintaining an accurate referrals database
e. Checking secretarial email inbox and ensure requests are actioned
f. Updating and maintain cancer safety netting register
g. Processing recall letters as requested
h. Inputting data into the patient’s healthcare records as necessary
i. Processing referrals using the electronic referral system (ERS)
j. Processing requests for information i.e. SARs, insurance / solicitor’s letters
k. Read coding data on EMIS
l. Answering incoming phone calls, transferring calls or dealing with the callers request appropriately
m. Processing all administrative queries as necessary
n. Carrying out system searches as requested
o. Maintaining a clean, tidy, effective working area at all times
p. Supporting all clinical staff with general administrative tasks as requested
In addition to the primary responsibilities, the administrator may be requested to:
a. Supporting secretarial team, providing cover during staff absences
a. Any other duty as allocated by Practice Manager, Operational Team Lead, Data Manager or Partners
