Duties include, but are not limited to:
Undertake a wide range of secretarial and administrative duties.
Administrative support to the multidisciplinary team
Processing of information in a timely manner
Use of electronic referral service (ERS)
Primary responsibilities:
The following are the core responsibilities of the medical secretary. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:
a. Process referrals to external agencies such as secondary care, using the electronic referral system (ERS), DXS, etc, where appropriate
b. Processing incoming and outgoing mail and email
c. File and store records as required
d. Photocopy documentation as required
e. Action all incoming faxes
f. Scanning of patient related documentation and attaching scanned documents to patients healthcare records
g. Input data into the patients healthcare records as necessary
h. Process requests for information i.e. SAR, insurance / solicitors letters and DVLA forms
i. Read code data on EMIS
j. Answer incoming phone calls, transferring calls or dealing with the callers request appropriately
k. Carry out system searches as requested
l. Maintain a clean, tidy, effective working area at all times
m. Support all clinical staff with general administrative tasks as requested
n. Cover emergency enquiries during practice lunchtime closures
o. Manage all administrative queries as necessary
Person Specification
Experience
Essential:
- Excellent typing and administrative skills
- Experienced Audio Typist
- Experience of medical terminology preferred
- To have the ability and be prepared to work Independently:
- - As part of the Medical Secretary Typing Team
- - As a member of the greater practice team
- - To be part of Team that deals with workflow systems
- - To adapt to service needs
- Excellent communication and interpersonal skills
- Ability to prioritise workload and adapt to service needs whilst working in a busy environment
- Must be willing to undertake any appropriate training requested by the Practice
