We are looking to recruit a Medical Secretary to join our friendly Practice team in Romford.
Please note, that for this specific role we will only consider candidates with a background of NHS administration / reception experience.
North Street Medical Care is a high achieving surgery with over 20,100 patients over two sites; North Street Practice and at the Chadwell Heath Health Centre in Ashton Gardens. The candidate may be required to work at both sites on occasions as requested.
The Secretary we are looking for must have good communication skills, attention to detail, a 'can-do' attitude and is able to deal with both patients and surgery staff face to face and over the telephone in a professional manner.
The role is for 37.5 hours per week Monday to Friday from 9 am till 5 pm. We would consider part-time hours. not less than 32 hours per week, worked over 5 days.
The job holder is responsible for undertaking a wide range of administrative duties and the provision of administrative support to the multidisciplinary team. Duties can include but are not limited to, the processing of information (electronic and hard copy) in a timely manner, liaising with team members and external agencies such as secondary care and community service providers in accordance with current policies, including the use of the electronic referral service (ERS). To assist in other administration areas as needed.

a. Typing letters, reports and associated documentation as required
b. Liaising with external agencies such as hospitals and community services, ensuring referrals are processed efficiently
c. Process all enquires in an effective manner
d. Maintain an accurate referrals database
e. Check secretarial email inbox and ensure requests are actioned
f. Update and maintain cancer safety netting register
g. Process recall letters as requested
h. Scanning of patient related documentation and attaching scanned documents to patient’s healthcare records
i. Input data into the patient’s healthcare records as necessary
j. Process referrals using the electronic referral system (ERS)
k. Process requests for information i.e. SARs, insurance / solicitor’s letters and DVLA forms
l. Take minutes in administrative and clinical meetings as required
m. Process PMAR (Private Medical Attendant Report), send invoice and log requests
n. Process adoption applications
o. Read code data on EMIS
p. Answer incoming phone calls, transferring calls or dealing with the callers request appropriately
q. Maintain adequate supplies of office stationery and ensure printers and copier machines are refilled with paper at all times
r. Process all administrative queries as necessary
s. Carry out system searches as requested
t. Maintain a clean, tidy, effective working area at all times
u. Support all clinical staff with general administrative tasks as requested
v. Display a positive ‘can-do’ attitude at all times, be a team-player
Secondary Responsibilities
In addition to the primary responsibilities, the medical secretary may be requested to:
a. Support registrations clerk and reception staff, providing cover during staff absences
b. Complete opening and closing procedures in accordance with the duty rota
c. Assist the HR administrator with all clerical and administrative duties
d. To open, date and distribute daily mail, including dropping off outgoing and recorded delivery post. Franking mail.
e. Photocopy and printing notes in accordance with Subject Access Requests (SARs) ensuring attachments sent via email are sent encrypted
f. Keep record of incoming and outgoing report requests (SARs)
g. Checking ID of patients receiving notes – contact patient to clarify consent given to third parties to request SAR on patients behalf
h. Clarify with patient date range relating to SAR
i. Train staff on referrals and related work to increase awareness and knowledge
j. Any other duty as allocated by Practice manager, Deputy Practice manager or Partners

Part-time hours: 32 - 37.5 per week
Salary: £11.50-£13.00 per hour
