This role requires flexibility with respect to shift patterns to meet the clinic demands.

Roles & Responsibilities
A. General Responsibilities

1. To remain familiar with, and adhere to, Policies and Procedures, particularly those relating to Health and Safety, ever mindful on the precautions for personal safety of self, colleagues and members of the public in the building.

2. To be alert to the requirements of the users of London Medical and to communicate any opportunities to develop new, or enhance existing, services.

3. To be mindful of the objectives of the Company, as communicated by the senior management team.

4. Ensure absolute confidentiality of medical information at all times not only in your own work but ensure that it is maintained by locums, temporary staff or anyone else representing the clinic.

5. To remain flexible and responsive to business demands, particularly in relation to working hours.

6. To carry out any other reasonable duties as requested by the General Manager.

B. TELEPHONES

1. To respond to incoming calls in a timely manner.

2. To identify self to caller (first name), to obtain accurate information about the caller and their enquiry, and to pass on messages promptly book appointments for all consultants and to pass on more complex issues to the relevant person or secretary.

3. To manage enquiries quickly and effectively, aiming to minimise the time spent with the caller while remaining polite, efficient and mindful of their possible distress.

4. To achieve, through discussion with colleagues, ongoing improvement in the quality of telephone service provided.

5. Deputise for the administration team roles as required.

6. Meet and greet patients and consultants on a face to face basis as required.

C. Business support Duties

1. To provide the first point of reference for the designated Consultants.

2. To communicate and liaise between all disciplines of staff.

3. Ensure the consulting room, computer, messages are prepared ahead of a consultants clinic.

4. Promote the London Medical service at all times to colleagues, consultants and patients.

5. Greet visitors, ascertain purpose of the visit and direct them as appropriate

6. To help support colleagues as required, including cover for annual leave and sickness or as directed by the Secretary Coordinator.

D. Secretarial Duties

1. Ensure that name details, addresses, email addresses and relevant associated doctors are properly registered so that template letters are correct. Make sure that key fields in the patient database are filled in – referral source, disease or diagnosis, medication reconciliation.

2. Make appointments for patients - Understand the nature of the appointment requested and have sufficient knowledge of the medical specialties of London Medical to suggest appropriate consultants to the patient where appropriate, providing appropriate brochures and information packs.

3. Send appropriate letters to patients. Prepare templates for patients seen in the clinic as well as when replies are required to correspondence. Ensure the letters go out word perfect, in good English. Assist in reducing delays in sending out reports or referral letters

4. Email, effective communication by email to appropriate parties.

5. Effective management of telephone calls. Try and establish the purpose of the call and act as required (the caller may be unwell and require your support).

6. Management of insurance claim forms, complete forms accurately and timely.

7. Checking medication reconciliations and patient records are up to date at all times.

8. Manage the journey of the patient through the clinic to enhance the service the patient receives.

9. Interview patients in order to ascertain purpose of visit and direct them as appropriate.

10. To arrange any medical tests in house or externally that have been requested by a Consultant and in adherence with London Medical protocols.

11. Arrange hospital visits for the patients

Medical Secretary: 1 year (required)

Job Types: Full-time, Apprenticeship

Salary: £30,000.00-£40,000.00 per year

  • London, W1U 2SA: reliably commute or plan to relocate before starting work (required)
