The Whitehorse Practice in Croydon is looking for a Receptionist
for 21 hours per week Monday – Friday (2 AM& 2 PM)
Practice opening hours are 08:00 am-18:30pm
Extended Access Hours are 18:30 pm – 20:00 pm
Essential skills include
· Good verbal and written communication
· An excellent telephone manner
· Ability to use own initiative
· Being able to quickly adapt combined with a willingness to learn is essential
Desirable
· Cover for additional shifts
· Good computer skills are desirable and previous experience within a similar role would be an advantage.

Job Description - Medical Receptionist
Under direct supervision of the Reception Supervisor, Reporting to Practice Manager
- Reception shift start at 08:00 or 13:15, all receptionists are to be available 15 minutes prior to start of shift
- Opening of premises: switch off burglar alarm, check heat/lights, check consulting rooms – using checklist *Must be completed and Initialled
- Closure of premises at the end of the day, ensure the building is totally secured, lights off and alarm activated
- Receptionist are responsible for clocking in and out at the beginning and end of shifts
- Monitor the appointment system and report any problems
- Ensure that consulting rooms are checked and stock replenished before each session
- Ensure that reception stock such as forms etc. are available in reception
- Ensure that appointments are booked accurately with relevant patient details
- Ensure that patients without appointments, but who need “ urgent consultation” are seen in a logical and non disruptive manner
- Advise patients of relevant charges for private services, accept payment and issue receipts for same
- Respond to all queries and requests for assistance from patients and other visitors
- All home visits require a telephone triage prior to booking an appointment.
- All receptionists must know how to utilise HUB appointments, paramedics and referring to district nurses
- Ensure correct information is given to patients on practice processes and requirements such as Registration processes, Clinics & various Services available at the practice.
- Register new patients on the EMIS registration screen.
- Action repeat prescription requests
- Action requests for Hospital transport
- Ensure Reception and Waiting areas are infection control compliant at all times.
- Report any problems with utilities such as Telephones, Heating etc.
- Complete /Attend all suitable training courses and in house training provided by the practice
- All receptionist must attend meetings when informed.
- All receptionist are responsible for the security of their individual log-in details
- All receptionists are required to know the names of practice “Leads” such as Safeguarding, Sepsis, Domestic Violence, FGM etc.
- All practice staff are responsible for Safeguarding (Vulnerable Adults & Children) and must know who to contact should they need to escalate a concern. ( Safeguarding flow chart and contact information on notice board)
- All receptionists should familiarise themselves with the lay out of the property and must know where their nearest fire exits are.
- All fire exits must not be blocked.
- Action tasks promptly
- Flexibility is a requirement and a priority of all receptionists needing to cover annual leave and sickness.
- Receptionists should take note of changes to practice process, policies or procedures via Memos or email sent from the manager’s office.
Note: Extended Access evening shifts can start from 14:00pm onwards and ends at 20:00 latest.
