Post: Receptionist/Administrator
Accountable to: Practice Manager and Partner
PURPOSE OF THE POST
Providing general reception and clerical duties, as part of a team responsible for the administrative routine within a busy 4 doctor practice.
JOB REQUIREMENTS
To maintain a professional and sympathetic manner towards patients at all times, even though on occasion this may prove to be difficult. To accept the necessity for working as part of a team, to provide an excellent service to the patients and GPs of the practice. A matter of great importance is the need to always observe confidentiality and to be aware of the consequences of failing to do so, which are highlighted within the disciplinary section of the staff contract. All staff are required to be receptive and adaptable to the ever-changing needs of the practice.
MAIN DUTIES
- Opening of the rooms each morning and securing at night.
- Noting any action required in order that patients may be dealt with concerning registration on arrival for appointments.
- Reception and routing of patients on arrival.
- Dealing with requests for appointments by telephone and in person.
- Dealing with enquiries by telephone and in person.
- Keeping up to date with new instructions and information distributed via memos, electronic messaging and email and meetings.
- Recording requests for visits and telephone calls, and alerting doctors to urgent visits whilst on their rounds.
- Sending referrals, either via e-rs or appropriate.
- Accepting messages for doctors, nurses, managers and other attached clinicians, and effectively communicating them as appropriate.
- Filing of medical records as required.
- Tidying the reception area and the waiting area at the end of each session.
- Ensuring that all notice boards and administrative files are kept tidy and up to date.
- Chaperoning when necessary.
- Leaving the reception area tidy and ready for colleagues taking over the next session.
Passing on relevant information and unresolved problems.
- Dealing with routine enquiries from patients regarding in-house clinics.
Carrying out any other duties which may be required by the practice within the scope of the grading for the post.

Salary: From £10.40 per hour

- Richmond, TW9 4BH: reliably commute or plan to relocate before starting work (preferred)
Experience:
- Medical Receptionist: 1 year (preferred)
