Job Title: Reception
Reporting to: Reception Team Leader
Hours: Part time hours - 18 hours Thursday and Friday
Job summary
As a key member of the Patient Services team you will be responsible for providing an efficient reception function that includes some specific administration duties.
The role is busy and varied. You will need excellent communication and interpersonal skills and to be able to handle difficult situations professionally and calmly. You will also need to be able to juggle multiple tasks at once and prioritise these appropriately during the day.
The reception team comprises of eight reception staff across two sites. The team are friendly and supportive and the role will provide you with a good understanding of the NHS.
The position is around 18 hours per week. The post holder will be required to work flexibly and work full time for 7 weeks each year to cover annual leave of their co-worker and be flexible to cover other absences. The post holder must be available to work between the hours of 8am and 6pm.
Main duties of the job
To ensure the front of house service of meeting and greeting is welcoming and portrays our standards of friendly, professional and patient-focused care.
To ensure a high focus on customer satisfaction by dealing with queries in a speedy and accurate manner with empathy.
To deal with patients and visitors in a courteous manner, using your skills to ensure matters are dealt with efficiently; providing effective management to patient demand, and reducing and helping patients to navigate NHS and local services by providing information
Managing prescriptions requests in accordance with Practice policies
Booking patient appointments with clinicians and home visits
Supporting clinicians during surgeries including acting as a patient chaperone
(Training will be given)
Giving out test results
Booking patient transport and requesting ambulances,
Liaising with other primary and secondary care providers and dealing with general enquiries
Ensuring that urgent referrals are forwarded to the Admin team
Accurately scanning of hospital letters and other clinical correspondence onto the clinical system
Keeping patient records up-to-date and recording accurate information as appropriate
Handling samples in accordance with practice health and safety protocols and undertaking urine dip stick testing (full training will be provided)
Patient chaperone training will be given
Preparing the consulting rooms prior to surgery and tidying up the rooms after surgery, check stock levels of stationary and medical supplies
General housekeeping e.g. keeping reception and waiting room tidy
Allocated administrative tasks on the clinical system, copying medical notes, handling incoming emails etc.
Handling money for private non NHS work such as medical reports
Attending training events as required and monthly target meetings
Any other duties as directed by the Management team.
Person Specification
Essential
- Good communication skills, both written and verbal

Desirable
- Knowledge of the NHS Experience of using clinical systems
- Previous experience customer service background or working as a receptionist in
General Practice
