Job Title:
Receptionist/Administrator/Patient Care Co-ordinator Apprentice
Main Purpose of Job:
To work effectively and accurately as part of the General Office, providing an efficient, friendly reception and telephone service, acting as first point of contact for patients.
Duties:
- Dealing effectively and courteously with incoming and outgoing telephone calls
- Receiving patients at the Reception Desk
- Answering general enquiries, registering patients, explaining surgery procedures, making new and follow-up appointments, giving results of investigations, and generally advising patients on non-clinical matters
- Liaising with other Health Services (Hospitals, GP Surgeries, Primary Care Trust etc.)
- Booking of ambulance transport for patients with a medical need for out-patient appointments
- Receiving and recording messages for Doctors, Nurses, other members of the team and the Strategic Business Manager
- Inputting and retrieving information from the Health Centre’s computerised information systems (eg., letter scanning, actioning electronic blood test results)
- Receiving requests and issuing computerised repeat prescriptions
- General Office duties (eg., photocopying, etc., sorting incoming and outgoing mail)
- Opening and closing premises on occasion and making secure, including diverting telephone to out of hours service, shutdown of computers and switching off electrical equipment before leaving premises
- Miscellaneous duties such as preparing doctor’s rooms for surgery and ensuring adequate supply of stationery, making beverages, occasional shopping
Scope:
Your key responsibility will be to facilitate the doctor/patient relationship in all aspects. It is therefore essential that you have a pleasant manner, are calm, self-reliant and good at making friendly relationships with colleagues and patients. As described above duties will range from general receptionist duties, accurate message taking, data input/retrieval and you must be able to multi-task work and be able to switch tasks readily and frequently without loss of concentration. Saltash Health Centre is very busy and you will need to be able to cope with stress and pressure from other members of staff and patients. A flexible approach is encouraged and you are expected to work as part of the team.

- In the course of seeking treatment, patients entrust us with, or allow us to gather, sensitive information in relation to their health and other matters. They do so in confidence and have the right to expect that staff will respect their privacy and act appropriately
- In the performance of the duties outlined in this Job Description, the post-holder may have access to confidential information relating to patients and their carers, practice staff and other healthcare workers. They may also have access to information relating to the practice as a business organisation. All such information from any source is to be regarded as strictly confidential
- Information relating to patients, carers, colleagues, other healthcare workers or the business of the practice may only be divulged to authorised persons in accordance with the practice policies and procedures relating to confidentiality and the protection of personal and sensitive data.

The post-holder will assist in promoting and maintaining their own and others’ health, safety and security as defined in the practice Health & Safety Policy, to include:
- Using personal security systems within the workplace according to practice guidelines
- Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks
- Making effective use of training to update knowledge and skills
- Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards
- Reporting potential risks identified.

The post-holder will:
- Apply practice policies, standards and guidance
- Discuss with other members of the team how the policies, standards and guidelines will affect own work
- Participate in audit where appropriate.
Hours of Work: 37 hours per week
