Job description
New Dover Road Surgery is a busy GP Practice situated in central Canterbury and serving a diverse population of patients. We are seeking a dynamic and caring individual to join our friendly reception/admin team. We are open to applicants seeking full or part time work, as this position could be awarded to either one full-time person (37 hours), or two part-time people as a job share (at least 15 hours each).
Job summary:
Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.
Provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.
Job responsibilities:
Administration
- Filing post in medical records
- Photocopy/laminate as requested
- Acting upon tasks sent from GPs and other members of the Practice team
- Checking emails, passing on messages and following up tasks.
- Handling patient queries and directing to appropriate services
Reception
- Receiving patients and handling their queries
- Handling prescription queries and giving patients their completed prescriptions
- Dealing with general enquiries, handing patients relevant paperwork etc
- Dealing with incoming post, emails etc and acting upon them accordingly
- Keeping the reception area tidy and well-organised
- Oversee the home visits list
- Be able to cover all reception positions as necessary
Telephones
- Process appointment requests from patients appropriately
- Deal with visit requests
- Signpost to the best source of care
- Liaise with other professionals and follow-up on outstanding queries
- Have a working knowledge of telephone system, during and after hours.
- Process all telephone requests and queries in a courteous and pleasant manner
IT/Computers
- Registrations of new patients – computer data entry and medical records.
- Process patients change of address – computer data and medical records
- Scanning, emailing, access test results and medical summaries
- Sound working knowledge of Windows and other basic IT programmes.
- Experience of EMIS and Docman an advantage, but training will be given
- Have a sound working knowledge of IT in order to be able to help solve or escalate IT problems as they occur within the surgery.
Other Tasks
- Clear rooms after surgeries, including the waiting areas
- Ensure building security – have thorough knowledge of doors/windows/alarm.
- Make coffee on a rota with other staff
- Any other tasks allocated by the manager or clinical staff
- To have a thorough knowledge of all practice procedures.
- To work in accordance of written protocols
