To provide operational and administrative responsibilities for Global Medical Affairs and Regional Medical Services teams in the non-medical aspects of projects, through generic support to common tasks and procedures as required. Candidate will work closely with the Global Project Coordinator to provide support on the set-up, up-keep and maintenance of operating activities, including central budget tracking and contracting.Job Description

Roles and Responsibilities
- European Educational Grant Committee and Ancillary Research Grant Committee administration requirements as Committee Secretary according to the Standard Operating Procedure (SOP). Monitor and manage the mailboxes, review and respond to applications to ensure all required information has been provided. Arrange Committee meetings, prepare and issue Agenda, present the requests at the meeting and issue the minutes. Follow-up on Committee decisions including creation of Outcome/Decision Forms and issuing of draft and final Agreements in a timely manner. Help achieve operational excellence by supporting the development of standardized documents, relationship management with external applicants and effective communication with stakeholders. Track AST (compliance) and budget activities relating to Educational Grant funding.
- Provide support as required for Data Forms, Workflows, Purchasing System (SSP) and SAP completion, and follow-up as needed to ensure fast execution of activities.
- Support internal infrastructure for communications and interactions through set-up and maintenance of virtual teams, linked repositories, distribution lists, etc, in a multifunctional and multinational environment.
- Regular scrutiny and follow-up of publication workflow status for R&D and Global Medical Services to ensure reviews are completed and finalised in the tool in line with the SOP.
- Extract and review of Key Performance Indicator (KPI) data entries to identify missing data and alignment of entries to requirements.
- Liaison with internal stakeholders to ensure and execute timely collation, filing and distribution of data as required for reporting and metrics, including data collation for Bowler Chart.
- Back-up and support for Investigator Sponsored Trials administration activities including budget tracking, AST, invoice receipting, contracting, data entry.
- Fast paced worker with excellent English language skills, and advanced Microsoft Office skills (Excel, Word, PowerPoint, Outlook, Box, Teams, etc).
Qualifications
- Bachelor's degree
- 3 year's of professional experience
- Advanced Excel skills
- Intermediate Microsoft Office skills (teams, outlook, word, powerpoint)
