Medical Affairs Excellence (MAE) Coordinator
Job purpose
We currently have an exciting Medical Affairs Excellence Coordinator opportunity - working directly with the VP, MAE and leadership team. This is a critical role which will be responsible for supporting the VP deliver on MAE priorities, with a specific focus on business transformation
Key responsibilities
In this role you will support the efficient running of the office of the VP, MAE to ensure all priorities are delivered – including strategic transformation initiatives.
- Work with the MAE Leadership Team to ensure all VP, MAE priorities are delivered
- Work with key stakeholders on behalf of MAE VP pre and post priority meetings to ensure actions are captured and progress to completion remains on track including preparation for strategic work e.g., financial reviews & planning, monthly status reporting
- Work closely with VP, MAE offshore admin to ensure diary is managed appropriately (offshore admin will handle diary, travel & expenses)
- Anticipate needs - strong focus on anticipatory behaviours to ensure that VP, MAE is well prepared for all meetings. This includes coordinating with LT members and others to prepare papers and inputs, ensure VP MAE had time blocked to prepare for materials
- Prepare documents (especially, Word, PowerPoint, Excel) to support meetings and discussions
- Oversee logistical preparation of key all-MAE events in calendar (e.g., Let’s Talk Town Halls)
- Prioritize schedule, handle inquiries and correspondence
- Maintain confidentiality of highly sensitive information
- Manage complex office administrative work requiring the use of independent judgment and initiative
- Business Transformation support:
- Work closely with VP, MAE on strategic transformation initiatives
- Act as working-level key point of contact in MAE on any strategic transformation initiatives, preparing materials, collating information
- Oversee key aspects of projects including the diagnosis, charter, PM structure and ways of working, project governance, plan design and implementation through to delivery and close
- Manage and coordinate across the team members of the project to ensure the deliverables are met, risks/issues are managed and that the projects deliver at pace
- Leverage PM methodologies to execute agreed project management strategies for successful implementation and embedding of agreed projects
- Demonstrate appropriate influencing skills and independent thinking where relevant

- Bachelor’s degree in scientific or business discipline with industry experience
Preferred Qualifications:
If you have the following characteristics, it would be a plus:
- Project Management Education or equivalent certificate
- Experience of working with senior leaders in fast-paced environments
- Strong understanding of GSK Organization and pharmaceutical industry.
- Self-directed and highly motivated, able to understand where to apply efforts to achieve the most significant business outcome.
- Strong analytical skills, interpersonal skills and communication skills are essential.
- Superior stakeholder engagement skills.

- Demonstrated experience in risk management
- Demonstrated strategic and enterprise thinking
