Raba Kistner is seeking a detailed-oriented, dependable Marketing Assistant to join our Marketing team in San Antonio, TX. The Marketing Assistant will support the Marketing and Business Development departments to help the firm build its brand and meet growth goals. The MA will provide administrative support to the marketing team including assistance with the development of statements of qualifications and marketing materials, data research, presentation creation, staff resume development, client feedback tracking and reporting, training program development support, event planning, social media support, and growth metrics tracking and reporting. Other responsibilities include:
- Assist internal and external clients in securing information, identifying appropriate contacts, and connecting with the appropriate resources within the enterprise to address needs.
- Assist in the development, production, and distribution of the firm’s statements of qualifications and teaming support information. This support involves meeting deadlines so that the firm qualifies for consideration for project opportunities. Support includes maintaining the SOQ log, formatting, editing, copying, binding, securing authorized signatures, and coordination and tracking of shipping. Research data in the firm’s project database (BST System) and internet searches. Monitor City of San Antonio Blackout periods.
- Coordinate department payables and maintain departmental purchase order log; monitor and purchase departmental supplies; coordinate maintenance of departmental equipment; coordinate departmental travel; process expense reports, process payment requests, assist with meeting scheduling, coordination and logistics.
- Develop the planning and presentation templates. Provide research. Input planning data. Prepare meeting visual aids and training study guides. Coordinate with meeting venue. Provide support for facilitator and participants during meetings.
- Assist with the development and updates of employee resumes. Assist with the development of marketing brochures and presentation materials. Assist with the writing and editing of the monthly employee newsletter. Provide support for the development and distribution of social media content.
- Prepare and distribute weekly BST proposal reports to designated staff members. Prepare other net revenue, growth, and client experience reports as needed. Provide administrative support and reporting as needed for the Chief Marketing Officer and business development team.
- Assist with logistics and administrative support for corporate special projects such as committee initiatives, ribbon cuttings, anniversary and client events.
- Understand, adhere and participate in the Raba Kistner Health and Safety and Behavior Based Safety Programs and set a good safety example.
- Perform other duties as assigned.
Employees shall possess the following minimum qualifications:
- Bachelor’s degree in marketing, communications, or other related areas preferred.
- One year of experience in a fast-paced office environment supporting multiple team members.
- Excellent verbal and written communication skills. Ability to communicate thoughtfully, solve problems, be a team player and provide helpful customer service to internal and external clients.
- Superior organizational skills and the ability to accurately complete multiple tasks under critical deadlines.
- Strong attention to detail and quality control.
- Ability to work independently and as part of a team.
- Superior skills with Microsoft Office Suite (Word, Excel, PowerPoint, Access). Strong knowledge of Teams, Zoom. Experience with InDesign and Photoshop is a plus.
- Ability to work with databases, social media platforms and e-mail marketing programs (i.e. Constant Contact).
- Positively represent the firm with all levels of staff within the organization and to the public.
- Possess basic math skills to verify financial documents, collect and analyze data, etc.
- Must be able to operate standard office equipment in a manner to produce quality documents and manage the equipment service process.
- Possess valid Texas driver’s license and meet company’s auto insurability requirement
- Must pass a drug test prior to employment and will be subject to post-accident, random, and reasonable cause testing during employment.

Possess valid Texas driver’s license and meet company's auto insurability requirements. Position may require protracted or irregular hours. Flexibility to work irregular hours is necessary due to client needs. Work responsibilities may require out of town/overnight travel to Raba Kistner offices, client offices and project locations.
