Job summary
This is a pivotal role in an extremely busy department that requires organisational, prioritising, and visual management skills to deliver a first-class service to all Station personnel across a wide geographical location. Ideally the applicant will have knowledge of Postal and Courier services.
This position is advertised at 37 hours per week.
Job description
Working as part of a small team within Admin Services, you will be responsible for;
Mail opening, stamping and forwarding to the appropriate section that has no addressee using JPA/TAFMIS/OUTLOOK
Work as a team to sort all incoming mail for delivery to appropriate sections.
Receipt/ book in and storage of parcels and packages prior to issue/delivery to addressee.
Forwarding all classified Mail to appropriate sections in accordance with JSP 440 & JSP 367
Be familiar preparing, weighing and recording, all mail for Click and Drop Royal Mail and Parcelforce account
Complete weekly Audit checks and resolve queries.
Maintain Mail Room systems, databases and ensure GDPR compliances.
Complete weekly security mandatory checks in accordance with JSP 367
Implement emergency procedures for dealing with suspect mail iaw JSP 440 and local instructions
Keep up to date with all national policy changes every three months by reading the following documentation and informing management of any changes required.
Understand and review processes/duties of other team members to enable cover for them in their absence when necessary.
As Admin Assistant to Deputy Admin Services, you are responsible for delivering a smooth service for the Station Personnel. You will be an integral role in the department, ensuring that daily operations in the Mail Room are functioning correctly and reporting to the Deputy Services Admin Manager any discrepancies that are found.
Person specification
Good background experience in customer facing roles will be highly desirable.
Will be working with other small teams and a diverse customer base in a complex Training environment.

The post does not offer relocation expenses.
