Job Summary:
An Office Assistant is part of a team that provides various administrative support to our clients, primarily logistics and mail processing.
Essential Job Responsibilities
- Mail Services includes metering, sorting, scanning, logging and distributing mail and accountable packages per schedule and agreed service levels
- Sort, scan, deliver and collect mail items in an accurate manner as per agreed SLA’s.
- Log incoming accountable items on to the SCLogic tracking system following the correct procedures.
- Prepare outgoing mail items for compliance with Royal Mail / DX costs and procedures.
- Book and prepare special/accountable items for onward delivery using the appropriate suppliers and systems.
- Process outbound couriers (Santis Global). This covers same day and overnight courier bookings.
- Oversee and check on the delivery status of couriers, special deliveries and sign for items. Providing the client with delivery updates and POD’s when required.
Qualifications & Requirements
- High School/Secondary School Diploma or equivalent
- Minimum of 1 year work experience in a customer services field
- Ability to use the SCLogic tracking system (or similar systems) and various online booking platforms. Full training will be arranged onsite.
- Experience in Microsoft Office (Word & Excel).
- Cross training within other Logistics activities to ensure optimum service is provided to our client.
- Ability to multitask with attention to detail
- Ability to resolve issues with professionalism and tact
- Ability to lift or move packages and file boxes
- Ability to grasp, lift or carry packages on a standard wheeled cart
- Ability to walk, bend, kneel, stand or sit for an extended period of time
- Ability to work onsite in a law firm office Monday - Friday
