Made Simple Group is now looking to recruit a part time Mail Room Administrator to join our team.

Permanent Part Time - 20 hours per week - Immediate Start

Monday to Friday (10am-2pm or 12pm-4pm)

Location: Old Street, London

Entry level role - This is an ideal opportunity for someone looking to gain experience within an office environment.

SCOPE:

The Mail Room Administrator reports to the Operations Manager and is responsible for coordinating postal services primarily for the virtual office side of the business. This includes processing incoming post according to a database lookup, sending that post out to clients, managing clients accounts and answering basic customer queries regarding postal services.

To coordinate a department that handles hundreds of post items a day.

RESPONSIBILITIES:

1. Coordinating the Post Department

  • Organise and sort the daily incoming mail
  • Distribute post to the relevant departments internally
  • Search and log details of client post on internal databases
  • Print post labels and sort post into pigeonholes for processing
  • Prepare and ensure post collection by Royal Mail at the end of the day
  • Manage the digital mailroom e.g. operate the automated mail opener and scanner
  • Return mail for recipients not registered at our address to sender
  • Arrange confidential waste to be collected for off-site destruction
  • Maintain post room inventory and order supplies from Royal Mail
  • Handle customer queries and complaints via an email ticketing system

2. Liaising with Customer Service Team

  • Help the customer service team with any queries reading post for clients
  • Help the customer service team trace specific items

3. Maintaining a positive relationship with Royal Mail

  • Help Royal Mail with any queries they have regarding post collection
  • Prepare the mail docket at the end of each working day
