Logistics Coordinator

The Logistics Coordinator is responsible for ensuring the day to day running of the UK warehouse. The role ensures accurate and efficient goods in and out functions for the UK operation and completes paperwork in SAP, CRM, and Excel. They are the primary contact for logistics, maintaining accurate records in CRM/SAP and management of local inventory. The role communicates regular reports to the senior management team for inventory, demonstration equipment, shipments, and cost analysis. This role is part of the UK Customer Service team.

Your responsibilities:
- Maintains daily functioning of the warehouse in line with the UK logistics policy. Manages all logistics issues and works proactively to provide logistical solutions, improvements, and control costs.
- Goods-In function to ensure efficient acceptance of deliveries each day. Answers the intercom, meets couriers, and transports goods to the goods-in area. Unpacks deliveries, checks, completes paperwork, and distributes goods promptly.
- Goods-Out function to ensure that products/shipments are despatched promptly and securely. Ensures sufficient packaging and completes paperwork trail.
- Maintains an accurate daily record of all goods-in and goods-out in excel and ensures that related paperwork is checked. Enters daily transactions and movements in SAP. Ensure that no goods leave the warehouse without paperwork being completed. Ensures warehouse records are kept up to date and provides monthly shipping reports in PowerPoint to the management team.
- Sends email notifications to recipient or relevant parties when goods are received each day.
- Arranges collections of equipment and goods and follows up with related parties.
- Escalates shipping issues to couriers to find a solution.
- Securely maintains local inventory to ensure that stock is assigned correctly and that the stock room is only accessible by authorised personnel. Ensures that parts are counted and booked into the correct storage locations. Is primarily responsible for any losses of stock and routine reporting of losses to senior management in PowerPoint format.
- Manages Demo / Loan equipment library, booking all devices in and out using the demonstration software system.
- Acts as the first point of contact internally and externally for shipment and logistics enquiries and issues. Responds to requests promptly by email and telephone. Maintains contact with all levels of the organisation regarding local logistics.
- Is the point of contact for all deliveries to the office.
What are we looking for in you?
- Numerate and literate with a good working knowledge of SAP, logistics systems and software
- Strong communication skills along with a good knowledge of MS Office including PowerPoint and Excel
- Experience in imports and exports
- Well organised and able to function independently with limited supervision
- High level of accuracy and efficiency
- Reasonable level of fitness required and ability to lift up to 20kg for:
- Loading and unloading of deliveries (to/from courier vehicles)
- Operating pallet trucks and goods trolleys
- Manoeuvring large products in/out and around the office
- Unpacking pallets and loading materials into the skip
- Moving furniture/office items and archive boxes if required
- General handyman tasks
- Ability to work in the UK without the requirement of company sponsorship
- Fluent in English – written and spoken
- Full, clean UK driving licence
