Position Description
The ECC oversees all aspects of coordinating field crews, field equipment, as well as the company fleet. They will work closely with the Project Managers and Crews to ensure that Crews are appropriately assigned to jobs. Tied closely to safety, the ECC will work with the Safety Manager to ensure all crews have appropriate safety tickets and orientations, and assist in safety administration as required. The ECC is also responsible for ensuring that field equipment is available and delivered to field crews in both a cost efficient and timely manner. The position will also be responsible to help recruit new field staff as required with the assistance of the HR Manager and works with them to get them orientated and full functional in their role. This position will coordinate and track the maintenance of all field equipment and is also responsible for developing relationships and negotiating supply contracts with suppliers. The Equipment/Crew Coordinator represents the company and its core values with both honesty and integrity at all times.

Core Responsibilities
Crew Coordination:
- Coordinates with all Project Managers, evaluating each project to assess which crew is most suitable for each job
- Dispatches crews, and advises which Project Manager and client they will be working for
- Assist with safety coordination and administration
- Manages the crew sheet ensuring that it is accurate and up to date
- Coordinates with the Office Administrator hotels and flights for crews as required
- Works with Payroll to ensure all DWR’s are accounted for in reference to the current crew sheet and all DWRs are being submitted in a timely fashion with a high degree of accuracy
- Approves and ensures that vacation requests for field staff don’t overlap with other staff vacations and/or major projects
- Utilizes and recommends current technology whenever possible in order to streamline and improve the dispatch process
- Ensures that all field staff are trained and understand Precision Geomatics expectations with regards to field work, notes, etc.
Equipment and Fleet:
- Keep equipment database up to date, ensuring that all trucks and equipment are itemized in the database properly
- Create and follow a truck and equipment turnover schedule
- Create and manage a fleet maintenance schedule, ensuring that all fleet vehicles are being maintained according to the schedule. This may include obtaining a contract with a reputable company for fleet vehicles to be serviced at as well as assisting with scheduling service appointments for fleet vehicles
- Identify current truck and equipment needs, consult with suppliers, request and review quotes, negotiating and determining contract terms and conditions, make recommendations to Management with regards to contract awards
- Purchase general and specialized equipment and materials as required
- Assess equipment requirements and develop specifications for equipment, materials and supplies to be purchased
- Establish logistics of equipment repairs and equipment delivery schedules
- Complete a full Pre-Delivery Inspection (PDI) on all new trucks, confirming that the truck is completely set-up for the field according to Crew Chief’s needs (ie. deck, tonneau cover, cases, safety kit, etc.)
- Ensure field and safety forms, (time sheets, note pads, sketch pads, etc) are available in each office for crews
- Follow up with the Safety Manager on all monthly vehicle inspections, ensuring all servicing requirements are adhered to by crews and that all concerns within the inspection reports are addressed in a timely manner
- Compare receivables against requisition and invoice for accuracy, verifying that materials, equipment are received
- Process purchases within purchasing authority, and/or within the assigned budget
- Prepare and maintain purchasing files and price lists
- Reconcile physical inventories with computer count
- Manage the organization and cleanliness of company offsite storages and ensure that storage sites are adequately supplied at all times

Education & Experience:
- Field experience as either a Crew Chief or Survey Assistant required
- Extensive knowledge and experience with survey equipment, and an understanding of the needs of field staff
- Ability to work independently with minimal instruction; communicate in a friendly manner with crews and suppliers
- Intermediate skills in Microsoft outlook, word and excel
Key Performance Indicators:
- Competent Crews are dispatched for each job
- Client expectations for crew arrival and competency is met or exceeded
- Equipment is inspected, calibrated and maintained resulting in minimal equipment failures in the field
- The fleet trucks are maintained as per the Precision expectations; anything identified on a Vehicle inspection is followed up and documented
- The equipment database is current and up-to-date
- Continuous improvement to processes and procedures
- Inventory of all supplies, forms and equipment is maintained
- Storage areas are organized and maintained
- Relationships with vendors and supplies are amicable and prices are negotiated in good faith resulting in cost savings for Precision Geomatics
- Provides information and reports to Shareholders on a regular basis to keep them up-to-date
- Recruits new field staff as required with the assistance of the HR Manager and works with them to get them orientated and full functional in their role ensuring all equipment is set up and ready to use including laptop, IPad, etc. as well as field equipment calibrated and tested if required.
- Ensure PC’s are aware of our expectations on vehicle inspections. i.e. Know how to properly fill out inspections, DWR’s, expenses, etc.
Job Type: Full-time
Salary: $25.00-$32.00 per hour
