Job description

Main Purpose of Job Role:

Reporting to the Directors, you will be responsible for helping to achieve the company’s sales turnover, on time delivery and profit targets by:

  • Ensuring that jobs are packed/despatched, cost effectively and delivered on time in accordance to customer build specification and quality requirements.
  • Lead staff that work within the despatch department.

Main Duties:

Logistics

  • Carry out daily functions to ensure smooth running of the despatch department
  • Planning outgoing deliveries, preparing delivery notes, checking and verifying products as well as preparing products for despatch
  • Ensure that finished product is well packaged, labelled and delivered according to the agreed delivery date
  • Process completed job cards ensuring all parts bookings are accurate and putting additional parts into stock.
  • Arranging transportation for incoming/outgoing product with external couriers as required in a cost effective manner
  • Entering and printing of subcontract purchase orders and coordination of subcontract activities directly with suppliers
  • Ordering of materials for the despatch department
  • Packing and dispatch of completed orders
  • Kitting of Final Assemblies prior to despatch
  • Finishing Inspection

Inventory Management

  • Organising, planning and coordinating all inventory management activities
  • Ensure that both goods inward and distribution departments are well organised and adequately resourced to sufficiently support production and the goals of the business.
  • Ensure incoming product is processed and managed appropriately according to company procedure ie booking in and inspection of parts
  • Ensure materials are ready and available for production as and when required.
  • Ensure that any materials that are late or holding up production for whatever reason are chased and followed up until received.
  • Ensure subcontract processes are received back and that suppliers are chased if late

Production Control

  • Preparation of information for daily meetings/ holding daily 8.30am meetings and arrange coordination of deliveries
  • Identify risks to meeting planned delivery dates and action response
  • Fast track orders through the Tricorn system
  • Monitor & review production progress against deadline targets to ensure on time delivery.

Customer Service

  • Respond to any customers questions on deliveries or delivered items.
  • Maintain proactive, dynamic and effective communication with customers at all times.
  • Offer flexible and helpful customer service to maintain a high level of customer satisfaction and repeat business.
  • Attend weekly Teams meetings with customers.

Health & Safety

  • Promote & maintain awareness and compliance of H&S in accordance with best practice and legal requirement.
  • Follow all safety regulations and precautions including risk assessments
  • Wear all required and necessary Personal Protective Equipment.

Personal Skills

  • Computer literate to include the use of Microsoft Word, Excel, Powerpoint, Outlook, and using courier software / web-based applications.
  • Able to select the most appropriate communication method depending on the situation (face to face, phone call, email etc.)
  • Good workload management with the ability to react positively to changing demands.
  • Reliable and trustworthy
  • Excellent team worker, with the ability to work alone. Has the desire to succeed as an individual and with the surrounding team
  • Positive approach / attitude to customer service (both internal and external customers)
  • Self-motivated
  • Flexible and adaptable, with a willingness to take a hands-on approach when required, so a capability to carry out departmental tasks is essential
  • Good administrative and numerical skills
  • Confident and calm under pressure
  • Good planning and organising skills with the ability to prioritise accordingly and manage a team of staff
  • Background in engineering would be desirable but not essential
