The Role
We are looking to recruit an enthusiastic and hard-working family legal secretary to join our busy, nationally renowned Family department in Blackburn.
This is an opportunity to join an award winning department with excellent long term prospects for the right candidate. We are looking to recruit a well-organised self-starter who is keen to make a difference and able to meet targets
The prime role of the legal secretary is to provide direct support to his/her principal to enable them to operate at optimum efficiency. This will include but will not be limited to the key responsibilities given below. The legal secretary is expected to use a high degree of self-management and initiative.
Key Responsibilities
Prepare correspondence and documents through audio-typing and word processing.
Administer electronic filing which will include daily filing and the opening, closing, storage and retrieval of client files in accordance with the detailed procedures contained in the office manual.
Liaising with 3rd party agencies including experts and the legal aid agency
Prepare mail and enclosures for dispatch.
Arrange for all copying to be done, in person if the office assistant is not available to undertake the task.
Make appointments, arrange meetings and to maintain an up to date diary for his/her principal.
Prepare the conference room for meetings as necessary and for the tidying and clearance of the room at the end of the meeting.
Provide refreshments when asked to do so.
Provide support to other secretaries as required.
Provide guidance to junior and temporary secretaries when required to do so.
Attend clients both in person and on the telephone and to provide such support in a professional and friendly manner in keeping with the firm’s standards for client care.
Undertake any specific training when required to do so and overall to have a responsibility towards self-development.
Ensure the confidentiality of all the firm’s and clients documentation and information.
Person Specification
Essential Personal Attributes
Knowledge of working within a busy family law department undertaking both public and privately funded child care and children act work.
Knowledge of legal aid funding and online applications
Audio typing to 60wpm using digital dictation systems. Knowledge of case management systems.
Communication – excellent telephone manner
Minimum of two years’ experience working in a similar role within a family law department.
Personable manner, good team worker, able to deal effectively with urgent matters as they arise
Desirable Skills & Qualifications
RSA 2
Good knowledge of legal procedures and working within a busy legal department.
Audio typing to 90wpm
Use of MS office suite
Good level of computer literacy
Minimum of two years working in a legal secretarial role in a legal practice
