Job description

We are currently seeking a skilled and dedicated Legal Secretary to join our client's Private Client Department at their Leamington Spa office. This is a fantastic opportunity for an individual looking to advance their career in a professional and supportive environment.

As a Legal Secretary, you will be responsible for providing comprehensive secretarial and administrative support to multiple Fee Earners within the department. Your exceptional keyboard skills, polite demeanor, patience, and flexibility will be essential in ensuring the smooth operation of the department.

Key Responsibilities:
  • Perform various secretarial tasks for the Private Client Department, assisting multiple Fee Earners and contributing to the overall support team
  • Manage and handle client calls, taking appropriate actions and liaising with Fee Earners when necessary (without providing legal advice)
  • Greet and assist clients at the reception, scheduling appointments as required
  • Conduct conflict checks for new clients
  • Retrieve and organise files for upcoming appointments, delivering them to the respective Fee Earners
  • Maintain filing systems and ensure accurate documentation
  • Provide general administrative support as needed
  • Attend Private Client Department Support Meetings and Firm Wide Meetings
  • Offer reception coverage as necessary
  • Prepare invoices and cost scheduling for clients under the supervision of Fee Earners
  • Uphold strict client confidentiality internally and externally
  • Execute any reasonable instructions from management within the scope of this job description
Knowledge and Experience:
  • Minimum of one year of experience working in a Private Client Department, preferably with exposure to Wills, Powers of Attorney, and Estate administration
  • Proficient keyboard skills and a strong command of Microsoft Outlook and Word; familiarity with case management systems is advantageous
  • Proactive and dynamic approach, demonstrating initiative in client interactions
  • Commitment to delivering exceptional customer service
  • Ability to collaborate effectively within a team and adapt to changing demands
  • Efficiency in handling challenging situations and difficult clients professionally
  • Discretion and a commitment to maintaining confidentiality for both employees and clients
