MAIN ROLE: Private Client Team Secretary
The main role of a legal secretary is to provide support to Solicitors, Legal Executives, Lawyers and Senior Paralegals, to enable them to effectively serve their clients.
DUTIES OF THE POST:
Responsibilities may vary, but the role of a team secretary will include some or all of the following:
- Word processing legal correspondence using audio transcription equipment or digital transcription equipment and software using the house style and accepted legal conventions
- Drafting simple and more complex documents
- Sending out documents
- Opening files and creating new matters on our case management system
- Maintaining, organising and archiving files; finding files as required.
- Scanning and emailing post to lawyers
- Printing documents
- Answering telephone calls, taking accurate messages and facilitating communication between clients and solicitors
- Preparing attendance notes of conversations with clients and external agencies
- Liaising with clients
- Dealing with new enquiries, obtaining relevant information from clients and providing quotes for new work where appropriate
- Collecting and delivering documents
- Managing diaries, scheduling meetings and making travel arrangements for one or more Lawyers
- Supporting legal research and communicating with vendors, experts, Lawyers, and other staff
- Dealing with all accounts procedures as necessary
- Billing and chasing aged debtors
- Producing work to agreed deadlines
- Undertaking legal research where directed
- Performing general administrative duties as required
- Working in accordance with all company procedures and policies
- Attending support staff meetings and general team meetings as required
- Undertaking any training required to maintain and develop your effectiveness in the role
- Client meetings – home visits and in office, attending alongside lawyers where requested and acting as a witness to documents if appropriate

PERSON SPECIFICATION:
- Relevant experience
- Ability to take responsibilities in matters delegated to you
- Professional manner and appearance
- Knowledge of MS Office and ability to work with legal technology (court-filing systems, transcription software, case management systems, Dictaphone etc)
- Ability to multitask and being comfortable dealing with a diverse pool of people
- Ability to solve problems and use initiative
- Calm and able to work to deadlines
- Ability to manage and prioritise a range of tasks
- Excellent organisational skills
- Outstanding time-management and typing skills
- Good keyboard skills with a typing speed of 65 wpm
- Ability to deal with sensitive and confidential information
- Excellent communication skills
- Good telephone manner
- Good command of English including spelling and grammar
- Attention to detail
- Willing to learn new skills
- Knowledge of administrative, secretarial and office procedures
- Knowledge of law and legal procedures
