Job description
The role of our Corporate Finance division is to support the ASC’s goal of fostering a fair and efficient capital market. We do this by ensuring investors have access to timely, reliable, and relevant information to make informed investment decisions.
- Assisting Legal Counsel, Securities Analysts and other Corporate Finance staff with word processing and document drafting.
- Document work including converting styles, performing mail merges, inserting media into presentations, cross-referencing, indexing, creating tables, working with graphs and objects, etc.
- Proofreading and checking documents for appropriate formatting, spelling grammar, and sense/clarity. Includes document version comparisons, and checking for accurate revisions.
- Developing standardized templates and document numbering and formatting styles for commonly used Corporate Finance documents.
- Accessing CSA Sharepoint site as necessary and compiling and distributing consolidated electronic documents for Corporate Finance Steering Committee, Investment Funds Steering Committee, Financial Innovation Hub Steering Committee, SPC and PCC meetings.
- Preparation and formatting of rules/instruments, policies and notices for SPC and the Commission and website publication.
- Updating information on the CSA Sharepoint tool for projects on which ASC staff are lead or co-lead jurisdiction as required.
- Preparing presentations using PowerPoint including formatting, adding graphics and photos.
- Providing general administrative support, such as:
- Compiling multiple documents to create electronic .pdf binders and tables of contents.
- Maintaining records.
- Proofreading documents.
- Managing electronic files, and developing and maintaining various databases.
- Preparing expense reports, staff development forms and out of province travel requests and maintaining records of those.
- Preparing expense reports, staff development forms and out of province travel requests for the CF division and maintenance of those records.
- Handling/distributing CF mail and deliveries, general filing and ordering of supplies for the division.
- Arranging for payment of invoices and responding to requests from Financial Services.
- Maintaining division-wide work-from home schedule, committee project lists, and monthly calendar of meetings (Commission, SPC, PCC).
- Acting as back-up support to the Applications Support Officer
- Intake of applications assigned to legal counsel or securities analysts.
- Data entry.
- Creating and formatting documents required by legal counsel.
- Creating correspondence to acknowledge receipt of application and advise filing counsel of any lacking requirements.
- Providing back-up support coordinating internal and external meeting as requested.
- Legal Assistant diploma or certificate, or equivalent experience.
- Minimum of five years of progressive legal administrative experience in a law firm or other fast-paced, demanding professional environment.
- Strong word processing and proofreading skills.
- Excellent oral and written communication skills, exceptional attention to detail, and a sense of ownership and responsibility for their work.
- A collaborative and collegial demeanour; the ability to work with a diverse team.
- Proven computer skills, particularly in MS Word, Excel, PowerPoint, Adobe, Outlook, Zoom, MS Teams and other technology, and experience with client relationship management software.
- The ability to handle multiple demands while being highly adaptable and responsive to changing priorities.
- Demonstrated strong organizational and analytical skills.
