Legal and Business Affairs Administrator,
We are looking for a proactive energetic individual to support the management and organisation of The Legal department for CPL. This is a great opportunity for someone with strong organisational and administrative skills.
Responsibilities:
· Timely response to all requests that come into the legal department
· Timely and accurate filing of all legal documents
· Accurate updates to contract status reports and other schedules
· Issuing and then ensuring contracts are fully signed
· Updating contract templates accurately and issuing contracts as requested by Legal team
· Ensure contract deadlines are communicated and prioritised as required (eg option end dates, production agreements according to filming dates, staff contract documents, insurance renewal documents)
· Ensure documents related to Core staff employees are issued on time and updated as required.
· Ensure documents retain the correct level of confidentiality
Tasks:
· First point of contact for all legal and HR contract/insurance queries internally and externally.
· Managing and organising Legal administration matters for CPL
- Work closely and collaboratively with the production and business affairs management department to facilitate and process the timely execution and completion of all paperwork and contracts required for the business.
- Build and maintain relationships with key stakeholders within the business, external contacts including agents, talent, commercial partners and rights-owning bodies.
· Liaising with production to ascertain key production pipelines for the business affairs team to action.
· Managing and actioning the contracts email inboxes on a daily basis for legal and staff contract queries, including timely follow up of all requests.
· Updating and managing the contract status report/matter list with key dates and production schedules.
· Managing diaries with key dates as directed by manager and ensuring legal cover is in place and communicated to production teams when urgent matters may need attention outside of standard working hours.
· Updating business templates and production protocols as directed by manager.
· Following up to ensure all new contracts are approved internally before being issued, including checking for head office approvals and correct level of internal signatories as required.
· Timely processing, coordinating and execution of legal, HR and business matters.
· Drafting standard template agreements as directed by manager.
· Assisting lawyers in fielding ad hoc queries as directed by manager.
· Review and overhaul of HR and legal filing system, status report, trackers for matters.
· Ensuring new production managers are briefed on CPL systems and processes.
· Support Head of Legal & Business affairs to ensure all key contracts and ancillary agreements are fully agreed and signed prior to filming or costs committed to
· Support Head of Legal & Business affairs to ensure all key production protocols and casting systems are fully agreed and signed off by legal team on a timely basis.
· Suggesting and implementing improvements to systems and processes to make them as efficient as possible, including managing all updates as required.
· All other ad hoc tasks as assigned by manager.
The successful candidate will have:
· An understanding of the functions and requirements of a legal department within a media and entertainment company
· An understanding of basic clearances and paperwork required as part of a non-scripted production.
· Extensive organisation, administrative experience within a media or entertainment company.
· Strong IT skills, Microsoft Word and SharePoint. Basic Excel and Docusign experience also preferred.
· Strong communication and interpersonal skills to build internal and external relationships.
· A proven track record of managing and updating systems and trackers/ deadlines.
· A positive, enthusiastic, collaborative and proactive approach.
· The ability to be organised and prioritise workload so that all deadlines are met.
· Flexibility and the ability to adapt and work effectively with a variety of situations, individuals and groups.
· An informed and broad interest in broadcasting and media.
· Business affairs experience in the production, television, radio and digital media industry would be a strong advantage.
Job Type: Full-time
Salary: £33,000.00-£35,000.00 per year
