Job description
- Arrange global meetings.
- Book global travel and travel logistics.
- Prepare and submit expenses in a timely manner.
- Provide support to the wider EA team as and when required.
- Manage busy and ever-changing diaries and supporting with day to day tasks.
- Help prepare for meetings, ensuring WebEx / Teams dial-in is available, all relevant attendees included and agenda available ahead of time.
Requirements:
- Experience in an administration / team secretary role is essential.
- Excellent communication skills – builds strong relationships within the team and across divisional boundaries.
- Ability to develop relationships across the business.
- Ability to work collaboratively and proactively in a team environment with a helpful and friendly disposition.
- Ability to manage own workload and prioritise activities accordingly.
- Confidence to take responsibility and make decisions as needed at the appropriate level.
- Ability to work well under pressure and multi-task.
- Attention to detail is essential – check itineraries and diary for conflicts; able to manage time zone complexity.
- Show initiative, resilience and judgement in the performance of a wide variety of tasks.
- Handle sensitive information with discretion and maintain confidentiality.
- Demonstrate excellent time management and organisational skills.
- Proficiency in MS Office – Word, Powerpoint and Excel.
- Technically competent in or willing to learn and use other electronic communication systems such as Webex, Teams and Workday.
