We have client assets under management of £83.4bn (as at 31.12.22). The successful candidate will join Newton as a member of the RFP team. The team sits in the Commercial business area, reporting into the Chief Commercial Officer. The Newton RFP team forms part of the function responsible for business development and relationship management. The team focuses on the completion of ‘’Request for Proposal’’ (RFP) documents submitted to prospective new clients, and on the completion of ‘’due diligence questionnaires’’ (DDQs) that are required by existing clients and consultants. The team must ensure that Newton and its products and services are well presented in these documents to help generate new business and retain existing business. The team works closely with the wider business development, consultant relations and client relationship management teams in the different office locations to produce text that is accurate and written in a persuasive manner. This role provides an excellent introduction to investment management and the financial services industry and a chance to gain insight into how an investment management firm operates. It is an opportunity to build strong commercial, operational, risk management and regulatory knowledge, and to develop effective analytical and communication skills.
Key Responsibilities:
Provide junior administrator support to the team ensuring that all allocated work and incoming issues are dealt with without risk to the company, in an efficient manner, and to the satisfaction of all internal and external clients.
Examples of team responsibilities the successful candidate is likely to be involved in are:
- Maintain the data held within the RocketDocs/PMAPS system (the electronic library of Newton’s standard responses to typical RFP and DDQ questions). This will include responsibility for the following tasks:
- Add new questions and answers to the database/remove obsolete information/make updates to existing questions and answers as required
- Identify process, system or personnel changes within the Newton business and update answers accordingly
- Ensure all answers are assigned to the appropriate Subject Matter Expert (SME) within the Newton business
- Liaise with SMEs to ensure all answers are reviewed regularly for accuracy and that sign-off is obtained
- Maintain a log to provide a clear audit trail of all text changes
- Ensure all terminology and formats used within the written text are standardised
- Respond to ad hoc requests from other Newton business areas
Other general responsibilities will include:
- Collaboration with other team/department members to support a continuous process improvement approach, and to contribute to key business strategic projects and initiatives. Maintenance of effective team checklists and procedure documents.
- Administration of meetings e.g. manage team diaries, prepare meeting packs, produce meeting notes and minutes. Attendance at meetings (internal and external) on behalf of the team when required. Support the team to maintain effective relationships with other Newton and BNY Mellon areas.
- Input into audit and control processes (external audits, regulatory audits, internal audits and compliance monitoring) on behalf of the team and other business areas, as required. Internal Junior Administrator - RFP team
- Production of Management Information data, reports and analysis on behalf of the team.
- Oversight of any team task that is being performed by a vendor (Outsourced Function Provider, Third Party Service Provider or Inter-Affiliate service), including undertaking the task during business continuity events or tests.
