The opportunity

This is a permanent administrative role, for a Junior Administrative Assistant to support EY Jersey’s Partner, Director, Management and Core Business Services team. You will be part of a collaborative and close-knit team of support staff.

Job purpose

To provide junior administrative assistance to the Partner, Director, Management and Core Business Service teams and assist and coordinate the many diverse aspects of their roles. The successful candidate should be able to demonstrate the ability to prioritise their workload and work under pressure. Training for this role will be given. The role is based on 35 hours per week.

Diary management

  • Provide comprehensive diary management
  • Scheduling and confirming meetings, reviewing calendar entries in advance, proactively manage meeting clashes, ensure no overlaps between meetings and allowing travel time
  • Facilitate logistical arrangements for meetings, proactively ensuring appropriate meeting spaces and catering is available

Communications

  • Act as an ambassador and first point of contact for allocated personnel when internal and external people wish to see or speak to them. Taking messages and passing on to the relevant person on a timely basis.
  • Manage communications and monitor allocated personnel’s email inbox taking appropriate action, escalating, or delegating accordingly
  • Dealing with enquiries where possible

Document management

  • Collate, process and monitor expenses and invoices ensuring compliance with policy and approval process and they are reclaimed in a timely manner
  • Document formatting and finalisation – letters, audit reports, reports, etc to meet client deadlines
  • Prepare and submit weekly timesheets, as required for allocated personnel


Organisational activities

  • Travel management – research, book travel (flights, hotel, ground transport) and creating detailed itineraries
  • Provide assistance with visa applications
  • Log compliance training for CPD purposes

Knowledge

  • Develop and demonstrate a solid working knowledge of the firm’s structures, service lines, key personnel, clients and policies and procedures

Teamwork

  • Assist other support staff and Executive Assistants when necessary
  • Work with internal teams to ensure deadlines are met
  • Alternate support for holidays and covering of absence

  • A confident communicator – both written and oral communication skills
  • Ability to build relationships with work and as part of a team, ensuring seamless service to the firm and our clients
  • Meticulous attention to detail
  • Confident, with the ability to use own judgement and make decisions to prioritise, challenge, negotiate and influence
  • Ability to balance multiple and competing demands and remain calm under pressure
  • A solution orientated approach to situations and willingness to learn
  • Proficiency in MS Office/Outlook (Word, Excel and PowerPoint)


  • Experience/Additional qualifications
  • Level 3 diploma or equivalent education required
  • Administrative experience is desired but not essential as training will be given.
