Days/Hours of work: Monday to Friday 8:30am-4:30pm
ABOUT POSITION:
The IT Specialist works in accordance with the mission, vision and values of Beacon Community Services (Beacon). This full-time position reports to the Business Analyst, and will be responsible for managing our hardware, software, data security, and all information and communication systems.
DUTIES AND RESPONSIBILITIES:
IT related Projects
- Assesses current software systems and hardware, identifies gaps and provides strategic (3-5yr+) and operational recommendations for all Beacon Program areas. This includes but is not limited to accounting systems, Human Resources and Payroll systems, document management systems, network systems, and data security.
- Develops, issues and reviews responses to RFPs for related projects when seeking new systems or service providers.
- Leads ERP implementations, allocating resources where needed, including end user training coordination
- Provides support and services related to the Beacon software, hardware, databases, networks and enterprise systems in conjunction with service provider
- Troubleshoot and resolve IT-related issues, provide immediate assistance when a concern is raised that service provider did not address in a timely manner
- Implement multi-factor authentication to ensure data security throughout
- Participates in the IT needs for new programs and/or new sites
- Keep apprised on IT trends and make recommendations along with the service provider
Information Technology
- Works to develop, install, and maintain all information technology products in collaboration with program directors, IT support service providers
- Manages the contract and relationship with the service provider
- Reviews external service provider reports for cost management and service efficiency
- Reviews Information Technology Roadmap annually with service provider to ensure all sites have adequate coverage for data security, network access, and backup systems – key contact with service provider to address any cybersecurity threats
- Maintains cell phone contracts
- Monitor and track all software, hardware and IT related issues with service provider
- Reviews/Approves invoices for Information Technology maintenance, internet, cell phone usage and any other IT related expenses
- Collaborates with program directors to track issues, repairs and upgrades, Information Technology hardware and software requirements
- Collaborates with all directors for employee onboarding process for IT related needs
- Assists and contributes to IT related Beacon policies
- Develop IT related learning opportunities for all staff as per approved budget
- Partners with Business Analyst in ensuring that we meet funding contract requirements
Budget Development
Coordinates, collaborates, develops and maintains annual Information Technology budget with program directors- Coordinates, develops and maintains annual budget for internet and cell phone provider
- Supervise the procurement of new software and hardware within the approved budget
EDUCATION, EXPERIENCE AND REQUIREMENTS:
- Proven working experience as an Information Technology Specialist or relevant experience
- Ability to work independently and/or as a member of a team
- Must be a self-starter and well-organized and have pride in your work
KNOWLEDGE/SKILLS:
- Excellent computer and systems knowledge and skills, including the use of Microsoft 365
- Ability to effectively prioritize competing priorities
- Ability to maintain confidentiality, discretion, tact and diplomacy in interactions with staff, volunteers and the public
- Skills related to information technology and web applications are required
- Ability to build and maintain relationships with focus on teamwork and collaboration
- Process-oriented with strong analytical, problem-solving and critical thinking skills
- Ability to suggest process improvements
