Job Summary:
As a Site Support Administrator, you will play a crucial role in providing administrative support to the Operation Manager, who oversees multiple sites. Your responsibilities will include assisting with various administrative tasks, maintaining accurate records, and ensuring the smooth operation of day-to-day activities.
Key Responsibilities:
- Provide comprehensive administrative support to the Operation Manager in managing multiple construction sites.
- Assist with the preparation and maintenance of site allocation sheets using data from timesheets, ensuring accurate and up-to-date information.
- Track and manage absence and holiday records for site personnel, maintaining accurate records and liaising with relevant stakeholders.
- Maintain training records and competencies for job roles on sites, ensuring compliance with company policies and industry standards.
- Act as the main point of contact for day-to-day queries and requests from the Operation Manager, providing timely and effective assistance.
- Utilise Excel and other software tools to analyse data, generate reports, and support decision-making processes.
- Collaborate with the wider administrative team to streamline processes and improve overall efficiency.
- Maintain strict confidentiality of sensitive information and comply with data protection regulations.
- Stay up to date with industry developments and be assisting with flow of information to the company HR and Payroll teams.
Qualifications and Skills:
- Previous experience in an administrative role, preferably within the construction or engineering industry.
- Strong proficiency in Microsoft Excel, with the ability to create and manipulate spreadsheets and generate reports.
- Excellent organisational skills and attention to detail, ensuring accurate record-keeping and efficient task management.
- Effective communication skills, both written and verbal, with the ability to liaise with stakeholders at various levels.
- Proactive problem-solving abilities and the capacity to work well under pressure, meeting deadlines and prioritising tasks effectively.
- Self-motivated and capable of working independently with minimal supervision.
- Familiarity with training and competency management systems would be advantageous.
- Knowledge of health and safety regulations within the construction industry is desirable.
Please note that this role does not require site visits, as it primarily involves providing administrative support from the Rugby office.
