Role
To provide administrative support to International Office staff and to act as the first point of contact for enquiries from international and EU students and applicants.
This would incorporate:
- Providing accurate and detailed information to prospective students by phone, online and in person.
- Expert advice on every part of the University from course information through to admissions processes.
- Administrative support to the International Office Team including organising freight, agent administration and assisting with the creation of marketing collateral and social media interaction aimed at international students.
Duties and responsibilities
Act as first point of contact for all international enquirers via email, phone and face to face.
Working as part of a team, receive, prioritise and fulfil enquiries to ensure a high level of customer service is delivered at all times.
Work in a customer focused and professional way with all internal and external stakeholders, providing assistance and guidance to colleagues and external partners.
Maintain accurate and comprehensive knowledge regarding the products and services offered by the University of Northampton.
Provide administrative support to a team of International Officers, assisting with agent administration, marketing and freight requirements.
Receive and process commission claims from the University’s international representatives, working closely with Finance to ensure accuracy, consistency and timeliness.
Organise and maintain storage and distribution of the International Office’s printed materials and ensure good value storage and timely distribution as required by the team.
Operate, input and maintain an accurate database of customer enquiries on the CRM system ensuring all information is accurate, up to date and stored securely in line with GDPR legislation.
Build internal networks and liaise with Faculties and Departments across the University, particularly Student Administration Services, in order to ensure an accurate and consistent service to enquirers.
Work closely with the Social Media team to create demographic appropriate content for the University’s social media channels that actively drives enquiry generation and recruitment.
Adhere to the University’s social media guidelines to ensure consistency of message and tone of voice throughout the University’s social media activity.
In conjunction with the International Officers, produce marketing collateral using the University template system.
The role holder will need to be able to write original copy, and also look critically at existing content, making appropriate changes as required to improve content in line with the University branding.
Work adaptably and flexibly in meeting changing needs and priorities.
To maintain and uphold brand guidelines in all marketing activity.
In conjunction with colleagues, ensure that marketing materials, social media content and responses to enquiries comply with advertising standards, accessibility legislation, data protection, freedom of information, disability discrimination and any other relevant guidelines, policies and legislation.
Deliver own work and work of any informal project team to established quality standards.
Skills and experience
- Educated to A-Level standard or equivalent, or possessing relevant
demonstrable experience in marketing to a high standard.
- Excellent communication skills with a strong customer service focus.
- Ability to build and maintain relationships with University staff and other stakeholders.
- Confidence in dealing with a variety of issues and queries. Ability to use
initiative and judgement in resolving queries independently or when to
refer to a senior colleague.
- Proficient in IT skills including all Microsoft applications.
- A flexible and adaptable approach to work to ensure tasks are completed as required, and ability to prioritise a busy workload.
- Excellent attention to detail and accuracy standards.
- Ability to work effectively both independently and as part of a team.
- Ability to adapt to organisational change.
- Ability to adapt to technological advances in the workplace.

This role is a temporary role for a duration of three weeks and will end on the 1st of September.
This role is not suitable for students due to GDPR.
