What’s the Job?
Provide administrative support to the Intake Associates for freight moving to our domestic or global warehouses. Sending out chaser emails to vendors requesting bookings of stock due to ex-factory imminently. Assisting the Intake Associate and Manager in maintenance of data accuracy within in the WMS and ERP systems. Investigating discrepancies between shipments and stock received in the warehouse to support stock accuracy in our systems.
What will I do?
- Sending out communications to vendors requesting bookings to be raised for purchase orders scheduled to ex-factory imminently. Report back to Intake Manager and wider stakeholders on product which has not moved on time.
- Data maintenance between Seko DCM our freight forwarding tool, and NetSuite our ERP. Ensuring accurate information is available in the systems for vendors to create shipment bookings.
- Provide support on reporting requirements of the Intake department. Be willing to learn the current processes but come to the team with ideas on how they could be adapted to drive efficiencies or generate more accurate reporting.
- Collaborating with the Intake Assistant on discrepancies between booked report and supplier chases. Ensuring information of all moving goods is visible and assist in any queries if required.
- Support the Intake Department in ensuring Castore compliance requirements are communicated to vendors, ensuring these are followed when stock is delivered to the business. Raising issues to the team and be willing to manage supplier communication.
- Working closely with the Intake Associate to ensure stock booked to come into the business has correct customs information to enable us to import into our Global territories.
- Providing reconciliation of intake forecasted to the business against what has been booked in at the warehouse. Raising discrepancies and investigating the cause, driving stock accuracy into the business from point of receipt.
- Build and maintain relationships with internal and external stakeholders. Be confident in reaching out to suppliers and can communicate clearly.
- Must be proficient at Microsoft Office, with a particular requirement of strong Excel skills.
What skills and qualities will I need?
Key Skils:
- Experience within a retail or operations administration role
- Clear understanding of a forward order wholesale process.
- Ability to work cross-functionally, liaising with peer groups across the business to drive efficiencies and results.
- Working within strict deadlines and able to be adaptive to changes.
- Excellent planning and organisation skills.
- Excellent numerical skills
- Good working knowledge of Microsoft applications
