Job Overview
This role supports the Data and Inspections Manager in the day to day management of Asset Management Directorate's operational asset data, to store and provide easily accessible Statutory Planned Preventative Maintenance documentation, to support and enable safe and reliable operations through the collection of consistent and accurate asset information, the timely manipulation of asset management systems as well as the inputting of multiple data sets that aid customer journeys. Provide feedback and urgent flags where necessary on the condition and data of all surface assets to the benefit of the wider Asset Operations team.
Key Accountabilities
- Takes a proactive approach to working with area teams and contractors to ensure that the collection and management of asset and condition data complies with H&S objectives and are understood and achieved, maintaining accurate H&S records for Asset Operations to demonstrate our compliance with H&S policy
- Responsible for the collection and collation of accurate operational and asset data in a consistent format, prioritising and distributing outputs according to agreed processes on a diverse asset stock including but not limited to Bus Infrastructure / Highways & Structures Infrastructure
- Responsible for asset inventory assurance, including system administration and contractor assurance to ensure consistency and accuracy of data
- Responsible for accurate and timely entry of data into multiple Asset Management Systems, including BridgeStation, Confirm, Maximo etc
- Liaising with area teams and inputting data and information into relevant systems to ensure inventories, contractor work orders and customer information systems are accurate and up to date
- Responsible for processing and prioritising works orders to repair assets and inputting of contractor completions to enable post work inspections according to agreed processes
- Support the successful handover of new and amended assets data into Asset Operations management as well as assisting in the collection of asset remote monitoring data
- Identify opportunities for surface asset improvement through general observations and liaison with local asset operations teams
Key Interfaces
The Data and Inspections Officer will ensure effective interfaces with customers and stakeholders including:
- Asset Operations regional Operations team and Engineering Services (ES) team to assist in the identification of issues and focus inspections in geographic areas of interest
- Internal stakeholders within Asset Management Directorate (AMD) - with particular focus on Asset Investment (AI) / ES, and Performance & Management (P&M)
- External stakeholders (such as Supply chain / Contractors / Network Rail
Knowledge
- A good knowledge of TfL Surface assets and asset management systems
- Knowledge of data collection techniques
- Understanding of Health & Safety in regards to operational inspection activities
- An awareness of Principles and Practices of Asset inspection and management
- Knowledge of London Wide Surface Transport Network

Experience
- Experience of providing clear and timely communication
- Experience of use, administration and management of electronic systems and databases e.g MAXIMO, CONFIRM and BridgeStation or similar systems
- Demonstrate experience of asset inspections / data entry or similar and knowledge of the purpose / outcomes of those inspections / data updates
