We are seeking to recruit the following:
2x Inpatient Booking Clerks
12 months, fixed term
37.5 hours per week
The post holder will be involved in maintaining the delivery of the in-patient pathway of the Stage of Treatment, and Referral to Treatment Target (RTT) in line with national targets.
This will be achieved through the booking of consultant’s theatre lists, pre-operative assessments and management of their waiting lists, with the recording of all necessary information on the Trust Patient Administration System (PAS) and Bluespier. The post holder will also be expected to carry out other clerical duties involved as deemed necessary.
To manage and co-ordinate the inpatient pathway from the decision to admit to the day of admission. Maintaining a clear and robust inpatient waiting list, monitoring suspension/deferrals and ensuring capacity to treat all patients on the waiting list is available, working closely with the Inpatient Team Leader and Administrative Service Manager.

Key Tasks:
1. Assigned to Consultant Surgeons but will provide support and cover during periods of leave for colleagues.
2. Add patients to the inpatient waiting list from outpatient appointment +when decision to admit is made ensuring all information is entered on to the Lorenzo system.
3. Agree a date of admission according to the waiting times set out by the Department of Health and Welsh Assembly.
4. Agree date for the patient to attend for formal pre-operative assessment ensuring the relevant period between appointment and admission date is met.
5. Ensure all relevant documentation is present in the Health Care Records and all systems are updated.
6. Liaise with Team Leader/Supervisors regularly to receive updates on waiting times and discuss and make recommendations to improve waiting list management.
7. Provide a weekly report on the status of the inpatient waiting list for Consultants to whom you are assigned.
8. Ensure that patients receive all the relevant documentation pertaining to their admissions.
9. Plan and liaise with Consultants regarding admissions for their operating sessions.
10. Whilst arranging admission dates using knowledge of operating list capacity, plan operating list.
11. Re-arrange cancellations (with and without Consultant consultation) where appropriate ensuring full utilisation of theatre lists.
12. Provide information for clinicians regarding their waiting lists.
13. Provide a high level of customer care exchanging information with patients and staff regarding admission processes and procedures.
14. Liaise with Patient Access Manager and Administrative Services Manager to ensure all lists are utilised and planned efficiently. Notify Consultants re: implant forms.
15. To deal with queries from patients, medical and nursing staff in a diplomatic and sympathetic manner.
16. Participate in new staff training within the Department.
17. Maintain Lorenzo details and update patient details.
18. Liaise with pre-op department re: changes, bookings, cancellations.
19. Liaise with other Hospitals to ensure notes and x-rays are forwarded for patients to be admitted.
20. Participate in maintaining Waiting list filing and general healthcare record filing system.
21. Provide support to the Patient Access Manager, Administrative Services manager and Team Leader..
22. Maintain Consultant computerised diaries and hard copy diaries.
