Job description
The post holder will be a key member of the Information Governance (IG) team, providing a comprehensive, high quality, confidential service to Provide Group. The post holder will perform a range of general and specialist duties associated with Information Governance systems and processes.
The prime objective of this role will be to support the Information Governance Programmes and initiatives and to provide a best-in-class Information Governance service to Provide group of companies.
The post holder will also be primarily responsible for fulfilling the role of Registration Authority Agent (RA Agent) supporting the processing of smartcard scheme function. Essentially this will involve face to face interviews with users, authenticating their identity and taking their photograph, maintaining record systems and issuing each user with an appropriately configured personal smartcard.
They will also be required to provide some administrative function in relation to Information Governance processes administered within the IG Team, to include minute taking, when required, organising meetings and have an understanding of systems and databases used to support the Information governance function within Provide Group.
The post holder will assist in producing reports and policy compilation.
Responsible for administering the Registration Authority (R/A) Smartcard Scheme Function within the organisation.
Assist with the organisation’s record archiving processes.
To assist with the organisation’s Freedom of Information processes.
To assist with the training of end users of key Information Governance systems.
Support the delivery of the Information Governance team’s services by performing other duties as required under the direction of their line management structure.
Processing Subject Access Requests (SARs) for Provide Group in line with internal Policy
Liaising with Provide services/departments to coordinate and support the maintenance of the Record of Processing Activities (ROPA).

Responsible for administering the Registration Authority (R/A) Smartcard Scheme Function within the organisation. Tasks include:
- Issuing Smartcards.
- Revocations of access and terminations of the use of Smartcards
- Provide support to sponsors and users of smartcards on how to complete RA paper work, unlock cards and re-issue certificates.
- Providing support to RA Sponsors on process, hardware and application problems.
- Raising RA issues to the Information Governance Manager
- To ensure current RA Policies comply with current legislation, DOH guidelines and corporate culture.
- To support the Data Protection Spot-check audit and assist in collating information.
To assist with the organisation’s Freedom of Information processes. To collate and manage FOI requests that are received into the organisation. Assist the Information Governance Manager with compiling responses and liaising with Commissioners to ensure that information is processed in a timely fashion and in compliance with the terms of Provide Group contracts. Maintain a database of FOI requests including timescales for disclosures and review the reports created by the IG Admin Assistant for the Information Governance Manager, for evaluation and presentation at key meetings.
To assist with the training of end users of key Information Governance systems
Support the delivery of the Information Governance team’s services by performing other duties as required under the direction of their line management structure.
To liaise with Provide Group services and other internal stakeholders to assist in completing the Data Protection Impact Assessments and Information Sharing Agreements.
